Job Title: Client Relations Specialist

Reports to: Operations Manager

POSITION SUMMARY

FLSA STATUS: The U.S. Fair Labor Standards Act (FLSA) requires employers to classify their employees as being either exempt or non-exempt for the purpose of being paid overtime wages. The essential duties of this job are such that the employee is classified according to the FLSA as a non-exempt employee.

TRAVEL REQUIREMENTS: Up to 5%

RESPONSIBILITIES: Satisfactorily performing and/or achieving the following Responsibilities are essential duties of the job.

  • Visitor Management: Greet and welcome guests upon arrival, direct them to the appropriate office, department, or team member, and help maintain a professional and welcoming environment for all visitors.
  • Communication Hub: Answer, screen, and route incoming phone calls using a multi-line phone system. Manage the general office email inbox, respond to inquiries as appropriate, and maintain phone logs to ensure timely return calls and accurate message delivery.
  • Administrative Support: Perform clerical duties such as filing, scanning, photocopying, and data entry. Provide administrative support to the General Manager, Operations Manager, and the Sales, Service, and Parts Departments.
  • Calendar and Scheduling Support: Assist with scheduling meetings, setting up conference rooms, and coordinating branch events, lunches, customer meetings, and corporate meetings.
  • Mail and Logistics: Receive, sort, and distribute daily mail and deliveries.
  • Facilities and Office Support: Monitor and restock office supplies and help maintain the reception area in a clean and professional manner.
  • Bookkeeping Support: Perform light bookkeeping and financial recordkeeping tasks, including work in FileBound.
  • Additional Duties: Perform other related administrative duties as assigned.
Requirements:

EXPERIENCE/COMPETENCIES/PROFICIENCIES: Satisfactorily achieving and/or meeting the following Experience, Competencies, and Proficiencies that are essential duties of the job:

  • High school diploma, GED, and/or trade school completion in an appropriate field required.
  • Proficiency in using office equipment and software necessary to fulfill the responsibilities of the position.
  • Strong working knowledge of Microsoft Office, including Word, Excel, and Outlook.
  • Experience using multi-line VoIP phone systems preferred.
  • Exceptional verbal and written communication skills, with the ability to interact professionally with a diverse range of clients, vendors, and team members.
  • Ability to remain calm, organized, and resourceful in a fast-paced, high-volume environment.
  • Previous experience as a receptionist or in a customer service role preferred, ideally within the automotive or industrial equipment industry.
  • Bilingual proficiency in English and Spanish preferred.

  • Ability to sit or stand for extended periods.
  • The position requires the ability to occasionally lift up to 40 pounds.
