Position Summary

Reporting to the Talent Acquisition Lead, the Talent Acquisition Coordinator supports the recruitment function by assisting with scheduling, candidate communication, and administrative logistics to keep the hiring process running smoothly. The role maintains candidate records, coordinates interviews, assists with job postings and offer letters, and helps ensure a positive candidate experience through timely updates and organized workflows. By handling operational tasks such as documentation, database management, and onboarding support, the coordinator enables recruiters and hiring managers to focus on evaluating talent and making hiring decisions.


We are seeking a Talent Acquisition Coordinator to provide critical operational and administrative support in a fast-growing startup environment. This role partners closely with Recruiters and hiring leaders to ensure a seamless "behind-the-scenes" experience for every candidate. You will be the engine of the Talent team, moving quickly to solve scheduling puzzles and ensuring every interaction reflects the excellence we bring to our patients and partners.


Key Responsibilities

  • Facilitates complex interview scheduling across multiple time zones, including video, phone, and onsite interviews.
  • Serves as the primary point of contact for candidate travel, expense reimbursement, and day-of-interview coordination to ensure a positive experience.
  • Maintains accurate and timely data within the Applicant Tracking System (ATS), ensuring all candidate records and job postings are up to date.
  • Helps post job descriptions across various boards and social media platforms to maintain a steady flow of talent & prepare visual job postings for the TA team. 
  • Supports recruiters in preparing offer letters & organizing recruiter and hiring manager notes int he ATS; sourcing for hard-to-fill and time-sensitive critical roles; and job fairs and community partnerships
  • Represents Gifthealth professionally in all communications, ensuring candidates understand our mission and culture.

Qualifications

  • Education: High school diploma or equivalent (Required)
  • Licensure/Certification: None
  • Experience: 1+ years of experience in a role requiring high organization and coordination (examples: recruiting coordination, administrative support, office management, or customer success)
  • Knowledge, Skills, & Abilities:  
  • Knowledge of the recruiting process and standard HR or hiring documentation processes (Preferred) 
  • Superior attention to detail and follow-through skills (Required)
  • Strong verbal and written communication skills with a focus on building trust and rapport quickly (Required)
  • Ability to utilize systems and technology (G-Suite, ATS, Slack) to track work and stay organized (Required)
  • Ability to work in a hybrid/remote environment with minimal supervision.
  • Ability to manage multiple priorities and stakeholders simultaneously in a fast-paced or high-growth environment (Required)
  • Ability to partner effectively across teams and maintain professional relationships with candidates and hiring managers (Required)

Work Environment

  • Location: Hybrid
  • Schedule: 8:00 A.M. to 5:00 P.M. Monday through Friday with night and weekend hours on occasion as determined by the needs of the business and cross-facility travel as needed
  • Regular meetings with the hiring team, HR department, and leadership to ensure alignment

Key Essential Functions

  • Must be able to remain in a stationary position for extended periods while working at a computer for extended periods, including typing, video calls, and using multiple systems
  • Must be able to participate in virtual and onsite meetings
