Position Overview
The Events Associate will plan, execute, and manage internal events, while also supporting the coordination of external rental and development-related events. This role ensures seamless coordination across departments and delivers high-quality, mission-driven experiences for donors, volunteers, partners, and community members.
This is a hybrid position, with at least three days per week in-office or onsite.
Key Responsibilities
Support the Associate Director of Special Events in executing cultivation events, fundraisers, conferences, workshops, volunteer events, and donor stewardship activities
Coordinate event logistics including venues, vendors, materials, signage, transportation, supplies, and budgets
Manage guest lists, invitations, RSVPs, and post-event follow-up
Create event materials including email invitations, programs, and promotional items
Oversee vendor relationships (designers, printers, photographers, promotional suppliers) and negotiate pricing
Track expenses, reconcile budgets, and process payments
Partner cross-departmentally to coordinate tours, site visits, and brand visibility opportunities
Provide onsite event staffing and logistical support
Qualifications
Bachelor’s degree preferred
1–2 years of experience in event planning, project coordination, or administrative support
Strong organizational skills with the ability to manage multiple concurrent events
Excellent written and verbal communication skills
Collaborative, detail-oriented, proactive, and solutions-focused
Ability to travel throughout NYC’s five boroughs and Long Island
Technical Skills
Proficiency in Microsoft Office and Google Workspace
Experience with Canva required; Adobe Suite a plus
Familiarity with mail merge tools, social media platforms (Facebook, Twitter, etc.), and communications software
Comfort learning new systems and event management tools
