Position Overview

The Office Assistant provides high-level administrative support to the Office Manager and staff. This role focuses on maintaining organized documentation, reviewing billing and invoicing details for accuracy. This position may provide workflow guidance within the office but does not have authority to hire, fire, discipline, or independently make employment decisions. Construction Administrative Support

  • Position Overview

    The Office Assistant provides high-level administrative support to the Office Manager and staff. This role focuses on maintaining organized documentation, reviewing billing and invoicing details for accuracy.

    This position may provide workflow guidance within the office but does not have authority to hire, fire, discipline, or independently make employment decisions.

    Key Responsibilities

    Administrative Support

    • Assist the Office Manager and staff documentation, pricing, invoicing and estimates for accuracy, job files, and internal paperwork
    • Provide support and ensure estimates and invoices are complete and properly organized before submission to management
    • Support tracking of project-related administrative requirements
    • Provide customer service to assigned clients and projects.
  • Billing & Invoice Review Support

    • Review invoices and billing documentation for completeness and accuracy
    • Identify discrepancies or missing information prior to management review
    • Communicate with internal staff to clarify billing and invoicing questions
    • Assist in maintaining accurate financial documentation records
  • Office Administrative Support

    • Manage inbound calls and general administrative duties
    • Maintain organized electronic and physical filing systems
    • Support data entry and internal reporting as needed
    • Assist in onboarding and training of new administrative staff on office processes
  • Qualifications

    • 5+ years of administrative experience in the pool industry
    • Strong attention to detail and documentation accuracy
    • Experience reviewing billing, invoicing, or financial paperwork
    • Proficiency in Microsoft Office (Word, Excel, Outlook)
    • Strong written and verbal communication skills
    • Ability to work independently and prioritize tasks
  • Preferred Qualifications

    • Associate’s or Bachelor’s degree in Business, Finance, Accounting, or related field

    • Experience with accounting or payroll systems (QuickBooks preferred; ADP a plus)

    • Experience in a pool company, construction, trades, or service-based business strongly preferred

    • Experience working with vendors, pricing, contracts, and budget tracking

    • Working knowledge of bookkeeping and labor-cost analysis

    • Bilingual (English/Spanish)

    • Administrative, finance, or bookkeeping certifications
