Job Summary
Responsible for assisting in the set-up, coordination, and execution of events and operations taking place on the campus of Hillsdale College. This position requires a flexible schedule to work evenings and/or weekends.
Essential Job Duties
- Assist in the set-up and coordinate events at Roche Sports Complex, Biermann Tennis & Track Facility, Hayden Park and other College venues as assigned.
- Equipment and facilities set up (player’s benches, baskets, scorer’s table, score clocks, bleachers, football and arena press boxes and PA system and digital display systems etc.)
- Set ups include indoor and outdoor events.
- Oversee and coordinate facility scheduling as it pertains to Athletic venues primarily and any other specifically venue as assigned.
- Communicate with requestors
- Maintain the Mazevo calendar requests and ARMS schedule from athletics.
- Maintain the overall look and cleanliness of the facility ie. storage, work orders
- Manage student staff and scheduling
- Work with Manager of event setup and mobile dining:
- Event set ups/teardowns on campus as needed
- Special events such as Commencement, Homecoming, Parents Weekend, etc.
- Assist as needed with the coordination and execution of summer camp programs as assigned.
- Manage and coordinate groups from the scheduling process through check out.
- Work with the College’s teams and service providers on utilizing services as needed
- Manage and schedule staff
- Utilize the College’s preferred software systems regarding event attendee registration in assisting on and off campus groups in facilitating their event’s registration for their on campus event if/as needed.
- Coordinate as directed, summer housing for students relative to their procurement of on campus employment.
- Serve as liaison between Hillsdale College Administration and select event owners that utilize College square footage for events.
- Provide administrative support during events in keeping with the College’s expectations of event owners and guests (see Being A Guest document).
- Be the primary liaison between the event holder and select Hillsdale Staff including service entities and Hillsdale College Security in ensuring smooth event operations in accordance with collectively adopted best practices.
- Work with and assist the Director of Campus Event Management and Operations in achieving the broader goals surrounding campus events.
- Perform any and all other tasks and projects as assigned.
- Manage designated events from inception to conclusion as determined by the Director. Includes facilitating client and vendor meetings to determine meeting goals and objectives, registration needs, campus room blocks, seating, billing, special meal requests, etc.
- Assist with the planning of assigned events (on-campus). Duties include working with internal departments to compile attendee demographics, managing communication via phone and email from registrants, creating rosters and reports/lists, and maintaining add/cancel sheets.
- Assist with the organization of on-campus events such as Commencement, White and Blue Weekend, Homecoming, various College on campus events etc. Responsibilities include: creating work orders, compiling and distributing meeting minutes, creating and updating various schedules, organizing event registration, and assigning staff to work.
- Assist with coordinating and proofing printed materials, compiling event spending, and other requested information
- Be responsible for operating and or being main point staff member responsible for utilization of strategic College software as assigned (Swoogo – event registration; Mazevo – space reservation) etc. and be prepared to utilize each as needed to

Education and Experience
Requires a high school diploma, bachelor’s degree preferred, and two years of related experience or an equivalent combination of education and experience, which fulfills the needs of the College.

- Ability to get from work site to another. This could mean some traveling across campus.
