Job Summary:

The Operations Specialist, as a member of the Portfolio Administration & Trading Team, is responsible for ensuring the daily accuracy of all systems and databases supporting our separately managed accounts, as well as reviewing any reconciliation breaks with our sponsor firms and facilitating any corrective action or further investigation. The Operations Specialist must be able to execute responsibilities with a sense of urgency and follow through, as well as be able to prioritize multiple assignments in our fast-paced environment to meet deadlines with efficiency and accuracy. 

The Operations Specialist will also handle frequent communication between our back-office support staff and portfolio management team as well as our financial advisor clients. Additionally, the Operations Specialist will assist members of the trading team with allocating large stepped-out block trades as well as the implementation and maintenance of model portfolios across various Unified Managed Account (UMA) and model delivery platforms as needed.   

Key Responsibilities

  • Ensure trade instructions match executions and allocations to custodians on both trade and settlement dates including any follow-up
  • Daily review of reconciliation reports amongst sponsor firms and escalating as needed  
  • Interact with multiple regional and wirehouse brokerage firms to resolve account reconciliation issues
  • Ensure security master information for our derivative strategies is accurate and updating our trading and accounting systems as needed
  • Source, input, audit and maintain accurate security cost basis information as needed 
  • Assist with client-related operational tasks and communications
  • Assist in creating and maintaining various operations procedure manuals
  • Maintain portfolio models on multiple Unified Managed Account (UMA) platforms
  • Work directly with senior members of the Trading and Investment teams to process Corporate Actions within client portfolios in a timely manner
  • Assist in the building and post trade allocating of large step-out block trades with liquidity providers 
  • Work with middle and back offices to correct trade breaks and other account issues
  • Responding to ad hoc reporting requests  
  • Focus and attention to detail 

Requirements:

  • Bachelor's degree required; field of study flexible with relevant experience
  • Understanding of electronic trading and investment management systems 
  • Strong analytical skills with attention to numerical accuracy
  • Proficiency in Microsoft Excel
  • Strong verbal and written communication skills

Preferred Requirements:

  • Bachelor’s degree in finance, accounting, economics, or a related field
  • 3+ years relevant professional experience
  • Experience working with an OMS (Order Management System)
  • Knowledge of InvestCloud APL system, Bloomberg, FactSet, Series 7 license is desired
  • Basic programming skills is desired

Work Environment

This position is based in our Richmond, VA headquarters.  The individual in this position will operate in a professional office environment. This role routinely uses standard office equipment such as computers, phones, printers, and all-in-one copier/scanner/printer/fax machines.   Ability to work remotely (virtually) periodically to support business operations is also required. 

Physical Demands

Salary Information

$70000.0 - $80000.0 Annual Salary
