SPOON Events, a Catalyst MXE company, is looking for a Corporate Event Planner to manage and deliver corporate and client-facing events from concept through execution. This role manages event logistics, vendor relationships, budgets, and timelines while delivering high-quality experiences that align with organizational goals.
This position requires a balance of independent work and collaboration with internal teams and clients. The ideal candidate is highly organized and proactive in identifying priorities. Project management experience and a strong ability to anticipate needs and take initiative are key to success in this role.
Position/Title: Corporate Event Planner
Job Type: Full-Time
Work Location: Rochester, NY
Compensation: $60,000 - $65,000 annually

Travel: Up to 10%
Essential Responsibilities:
- Partner with clients and internal stakeholders to understand event objectives, scope, and requirements.
- Plan and manage events from initial concept through post-event evaluation.
- Develop and manage event timelines, budgets, and logistics including venue selection, catering, décor, transportation, AV, marketing materials, and staffing.
- Serve as the primary point of contact for vendors, venues, and event participants throughout the planning process.
- Lead pre-event meetings and coordinate all operational details to ensure successful execution.
- Manage vendor contracts, purchase orders, and invoices.
- Oversee client and guest experience before, during, and after events.
- Ensure events meet legal, safety, and regulatory requirements, including permits and insurance needs.
- Identify tasks and priorities independently while maintaining alignment with overall event goals and deadlines.
- Travel to event sites as required (approximately 10%).
- Troubleshoot and resolve issues quickly and professionally during event execution.
Required Qualifications:
- 2+ years of experience in event planning, hospitality, customer service, or a related field.
- Strong client-facing communication and relationship management skills.
- Proven ability to manage multiple projects and meet deadlines.
- Excellent organizational skills and attention to detail.
- Ability to work independently while also collaborating effectively with a team.
- Proficiency with Microsoft Office Suite.
- Willingness to travel up to 10% and work flexible hours, including occasional evenings or weekends.
Preferred Qualifications:
- Bachelor’s degree in Hospitality, Event Planning, or a related field.
- Project management experience.
- Experience managing vendor contracts and budgets.
