Key Responsibilities Greet clients and visitors with warmth and professionalism, both in person and over the phone Assist with client check-ins, scheduling, and intake coordination Verify insurance and financial information accurately Collect client fees, create invoices, and address billing questions Maintain updated client data in the EHR system Fulfill medical-records requests accurately and securely in compliance with HIPAA Support clinicians with administrative needs while maintaining confidentiality and HIPAA compliance Keep reception, common areas, and supply rooms organized and welcoming Maintain office and breakroom supplies Manage Outlook holiday calendars, meetings, and outreach events; reserve rooms as needed Perform other administrative duties as assigned
Qualifications High School Diploma or equivalent required 23 years of experience in an office setting; 12 years in medical or behavioral-health preferred Experience with insurance verification and data entry; ability to sit or stand for long periods of time Spanish-speaking preferred but not required Proficiency in Microsoft Office and familiarity with EHR systems Strong attention to detail, reliability, and interpersonal skills Valid drivers license
