The hybrid Administrative Assistant / Coordinator position will play a crucial role in ensuring smooth and efficient operations.  This role will support our team with a variety of administrative tasks, coordinating schedules, and facilitating communications across departments. Excellent rganizational skills and attention to detail will be key in maintaining a productive and harmonious work environment. 

Requirements:
  • Review and approve CRM orders. 
  • CRM data entry and auditing line items.
  • AP-Receives, verifies, reconciles, and approves factory invoices.
  • AR-Invoice customer following FOB terms. 
  • Calculates sales tax on customer invoices. 
  • Reviews, verify, and post invoice batch transactions. 
  • Assists with job reconciliation weekly and monthly utilizing unbilled and VIR dashboard.
  • Manage incoming calls, provide customer service to our sales team through phone, email, teams and /or CRM.
  • Cost recognition .
  • Collects, organizes, and analyzes data using Excel.
  • Cross-trained to perform multiple roles and provide coverage as needed for the administrative team. 
  • Perform other related duties as assigned.

Education and Experience:

  • Familiar in Cost Accounting/Project Management.
  • Experience with ERP System Data Entry.
  • High school diploma or equivalent required. 

Physical Requirements: 

  • Prolonged periods of sitting at a desk.
  • Must be able to lift to 15 pounds at times. 


Salary Information

$45000.00 - $62000.00 Annual Salary
