Responsible for ensuring the integrity, accuracy, and compliance of all new business accounts, commercial loans, and related business financial products and services offered by the credit union. The role performs comprehensive pre- and post-closing quality control reviews, identifies discrepancies, and collaborates closely with business partners to implement effective corrective actions and drive process improvements. Provides essential support and backup for other functions within the broader Risk Management area, contributing to the overall strength and soundness of the credit union’s business services portfolio.
Primary Job Duties:
Assumes primary responsibility for conducting detailed quality control reviews of commercial and small business loan files and new business account documentation to verify completeness, accuracy, and adherence to regulatory standards.Conduct post-closing quality control reviews and subsequent maintenance on business loan files and new business accounts to ensure they adhere to the credit union's policies, procedures, and all applicable federal and state regulations.Verify data integrity, income calculations, collateral documentation (e.g., titles, Uniform Commercial Code [UCCs]), credit reports, proper coding within core systems, accurate forms, and complete support documentation, ensuring correct business account types and titling.Proactively identify documentation errors and policy exceptions.Track all findings and communicate clearly and effectively with appropriate lending or operations staff to ensure timely resolution and appropriate corrective action.Ensure all business deposit and loan documents, including signature cards, comply strictly with applicable state and federal laws and regulations. This includes critical mandates such as the Bank Secrecy Act (BSA), OFAC, Patriot Act requirements, and internal credit union lending policies and procedures.Manage the entire document lifecycle, which includes verifying, scanning, accurately indexing, and archiving all business deposit and loan documents within the credit union’s enterprise content management systems.Oversee business systems and functions to ensure strict segregation of duties, complying with internal guidelines and all applicable state and federal laws and regulations.Work in partnership with lending, operations, and compliance teams to refine workflows, develop best practices, and improve the overall efficiency and compliance posture of the new business services division.Review commercial and small business loan files and new business account documentation to ensure completeness, accuracy, and adherence to all internal policies and regulatory requirements for NCUA, BSA, AML, and OFAC.Verify data integrity across all business services documentation, including income calculations, collateral documentation (e.g., titles, Uniform Commercial Code [UCCs] filings), and credit reports.Identify, document, and track policy and documentation exceptions or errors, effectively communicating findings to the appropriate lending or operations staff for timely resolution.Maintain and manage comprehensive exception reports for missing information or documentation issues, coordinating follow-up and resolution efforts with relevant departments or branches.Oversee the approval and scanning process for all business deposit and loan documents, ensuring accurate archiving, robust record keeping, and document integrity.Review and ensure accurate notations on business accounts for special instructions, warnings, and comments related to complex situations such as death notifications, organization accounts, and other sensitive matters.Support internal and external audits, as well as National Credit Union Administration (NCUA) examinations, by preparing requested documentation and ensuring continuous audit readiness for business services.Collaborate closely with Risk Management and Technology departments to oversee the verification process for employee and volunteer business accounts and loans, maintaining confidentiality and compliance.Provide internal quality control function training as requested for new or existing employees across the organization regarding business services documentation standardsPrepare detailed reports on quality control findings, issues, and trends for management and Credit Risk Management, ALCO, and Charge-off Committees.Education/Certification:
High School Diploma or GED requiredAssociates and/or bachelor’s degree in business or related preferred.Experience Required:
Three years of experience working within a financial institution required with a preference in retail business accounts, loans, and services functions preferred.Required knowledge, skills and abilities:
Sound knowledge of all applicable banking rules and regulations required Knowledge of business accounts and lending processes requiredKnowledge of deposit/loan account software systems preferredProficiency in excel, word, power point, and ability to write summaries requiredStrong interpersonal skills with the ability to work well with business members, managers, and other employees.Ability to function well as part of a team, as well as to work independently.Excellent verbal and written communication skills.Exceptional attention to detail, organization, multitasking, time management.Ability to maintain confidentiality.
