Assistant Manager
Location: Huntsville, AL (On-Site)
Reports To: Community Association Manager / General Manager
Schedule: Full-time, Monday–Friday (occasional evenings/weekends as needed)
Position Summary:
The Assistant Manager supports the daily operations of homeowners associations (HOAs), working closely with the Community Association Manager to ensure smooth administration, homeowner satisfaction, and adherence to community standards. This on-site role in Huntsville, AL, requires strong organizational and communication skills, attention to detail, and a proactive approach to community support.
Key Responsibilities:
- Assist in the day-to-day management of HOA communities, including handling homeowner inquiries and requests
- Coordinate vendor services, work orders, and site inspections under the direction of the Community Manager
- Prepare and distribute resident communications, notices, newsletters, and meeting materials
- Help organize and attend board meetings; take meeting minutes and ensure follow-up on action items
- Maintain community records, documents, and databases in accordance with company policies and HOA requirements
- Monitor compliance with community rules and regulations; issue violation notices when necessary
- Support budgeting processes, invoice review, and assessment collections
- Provide front-line support to residents and board members in person, via phone, and by email
- Perform property walk-throughs to identify maintenance needs and report findings
- Handle special projects and administrative tasks as assigned
Qualifications:
- 2+ years of administrative, property management, or HOA-related experience preferred
- Strong customer service orientation with excellent verbal and written communication skills
- Proficient in Microsoft Office Suite (Word, Excel, Outlook); experience with HOA software a plus
- Ability to manage multiple tasks and prioritize in a fast-paced environment
- Detail-oriented, reliable, and highly organized
- Must be comfortable working independently and as part of a team
- Knowledge of HOA governance, CC&Rs, and board processes is a plus
- High school diploma or equivalent required; college degree preferred
- Valid driver’s license and reliable transportation for community visits
