About this position

Position Purpose

This position provides secretarial support to ensure the efficient operations of the department functions and coordinate the day-to-day business activities of the leadership in which the individual supports, which may include Vice President or Administrator level roles.

 

 

 

Nature and Scope

This position is responsible for communication, which is often of a confidential nature, and coordination of the day-to-day business activities for the department and the leaders in which the role supports.

The incumbent has daily internal contact with Renown Health System staff including corporate and hospital management and Administration along with their staff, physicians, vendors and other healthcare organizations, vendors and regulatory agencies.

The key responsibility for the Administrative Assistant is to ensure clear and efficient department operations and the support necessary for the leadership for the areas in which the role supports, including back-up support for various Directors/Managers. This includes:

 

• Office Management:

o Answer and direct phone calls, take messages, and provide information as needed.

o Greet and assist visitors, clients, and guests.

o Maintain office supplies inventory and place orders when necessary.

o Coordinate and schedule meetings, appointments, and travel arrangements.

 

• Administrative Support:

o Prepare, format, and edit correspondence, reports, presentations, and other documents.

o Handle incoming and outgoing mail, including email correspondence.

o Maintain and update filing systems, both electronic and physical.

o Assist with data entry and database management.

 

• Event Coordination:

o Organize and support company events, meetings, and conferences.

o Prepare materials and assist with event logistics.

 

• Communication:

o Serve as a liaison between departments, clients, and vendors.

o Assist in preparing internal and external communications.

 

• Project Assistance:

o Support various projects and tasks as assigned by management.

o Track project progress and provide updates as needed.

 

• Office Operations:

o Ensure the office environment is orderly and professional.

o Manage office equipment and coordinate repairs and maintenance.

Description

Education:

Must have working-level knowledge of the English language, including reading, writing and speaking English. Preference will be given to applicants who have completed college or business school courses in secretarial science.

Experience:

Minimum three years of responsible secretarial and computer experience. Applicants with an office management background will be given preference. Notary Public preferred.

Computer / Typing:

Must be proficient with Microsoft Office Suite, including Outlook, PowerPoint, Excel and Word and have the ability to use the computer to complete online learning requirements for job-specific competencies, access online forms and policies, complete online benefits enrollment, etc.
