As a Project Coordinator you will be involved with management, financial management and close out of a project to ensure completion to customer requirements with the consideration of set deadlines, scheduling, record-keeping, and budgeting.

Primary Responsibilities

  • Answer phone calls, which will include all intake and confirmation calls
  • Ensures that all dispatching and schedules are accurate
  • Responsible for daily communications emails to operators with schedules and locations in a timely manner
  • Accurate paperwork is maintained for each project and that all supporting documentation is compiled, stored and readily available for inspection or query
  • Evaluate potential problems and technical hitches and develop solutions
  • Assists with project set up which includes finalizing contract paperwork, obtaining retainages and working with management to resolve any project claims
  • Communicate with clients to identify and define project requirements, scope and objectives
  • Direct project correspondences by preparing and reviewing project proposals, memos, meeting minutes and emails
  • Adhere to budget by monitoring expenses and implementing cost-saving measures
  • Maintain Dispatch/Equipment/Timesheet and all other spreadsheets as necessary
  • Responsible for posting, submitting, and approval of payroll for field personnel
  • Ensures all invoices are coded correctly and submitted to Accounts Payable for payment
  • Responsible for billing, by generating invoices to customers
  • Responsible for submitting project cost reports to management and operations
  • Accurate invoicing of projects
  • Performs other duties as assigned

Education and/or Experience

  • Bachelor’s Degree preferred
  • 1-3 years of relevant experience
  • Proficient in MS Office 365 products, internet, estimating software, etc.
  • Ability to calculate intermediate figures such as percentages and discounts
  • Valid CA Driver License and good driving record
