THE DEPARTMENT
The Human Resources team strives to create a work environment where associates are enthusiastic about their jobs. HR is responsible for the implementation and execution of human resource functions and programs including compensation, performance management, succession planning, employee relations, benefit administration, employment regulations and compliance, recruiting, analysis and delivery of benefits, reception, and facilities maintenance.
THE ROLE
The role of a Facilities Support employee is to provide accurate distribution of incoming, outgoing, and interdepartmental mail, supply inventory management, operation of mail center equipment, and overseer of office public spaces such as conference rooms, kitchen and coffee areas. The individual will also assist with administrative tasks for the HR team.
THE POSITION
The Facilities Support employee is responsible for the following:
- Distributing, scanning and dispatching incoming, outgoing, and interdepartmental mail accurately and efficiently
- Handling of weekly invoicing for various mail center vendors
- Operating postage metering and shipping equipment. Maintaining an efficient operation by performing assigned routine maintenance on equipment and requesting maintenance services when required
- Verifying accuracy of postage and financial codes on all outgoing packages
- Developing and validating external mail communications to worldwide offices and field office personnel
- Working directly with shipping companies (FedEx, UPS, USPS, and DHL) on freight shipments including completing all associated customs paperwork
- Program and distribute access badges, fill out online workorder for Cole Taylor to activate badge for main entrance access
- Coordinate with property management company on work environment issues (heating, cooling, trash removal, plumbing, lighting, etc.)
- Interface with Colorado Security Products for any problems with badge readers, cameras, door strikes, and ordering new access badges
- Receive all incoming freight, including computer equipment coming back from former associates.
- Stocking conference rooms, break areas and copiers with supplies for company-wide use
- Maintaining inventory of supplies by identifying, labeling, and ordering supplies
- Responsible for monitoring and identifying process improvement methods to reduce costs and ensure ease of use for customers, both internal and external
- Assist with the coordination of office events
- Contributing to a team effort by accomplishing related results or assisting with projects as needed.
EDUCATION
The preferred candidate will hold a high school diploma or equivalent.
EXPERIENCE PREFERRED
The preferred candidate has noteworthy experience in the following areas:
- Working in a similar position involving shipping/receiving/mailroom, production, and client services
- Working at a functional level with Microsoft Suite: Word, Excel, and Outlook; FedEx systems, and postage machines
- Use of a pallet jack and hand carts.
- Working in a customer service environment
- Experience and understanding of a professional work environment
