Leasing Agent
Position Overview: A Leasing Assistant supports the property manager in handling day-to-day operations and reaching the company goal which is to be 97% occupied at all times. This role involves interacting with potential tenants, processing applications, and ensuring that properties are leased efficiently. Leasing Assistants play a vital role in helping the property management team achieve leasing goals and maintain a positive relationship with current and prospective tenants.
1. **Tenant Relations** - Greet potential tenants, provide property tours, and answer questions about available units. - Assist in addressing tenant inquiries regarding lease terms, rental rates, and property amenities. - Develop and maintain positive relationships with current and prospective tenants.
2. **Lease Administration** - Assist in preparing and processing lease agreements, applications, and renewals. - Ensure that all leasing documents comply with company policies and fair housing requirements. - Maintain accurate records of leases, renewals, and other related documents.
3. **Marketing and Advertising** - Help with marketing efforts to promote vacant properties, including updating listings on rental websites and social media platforms. (Facebook, Instagram, Zillow and Apartments.com) - Coordinate and implement property tours and open houses to attract potential tenants. - Prepare promotional materials (brochures, flyers, etc.) for the property.
4. **Application and Screening** - Process rental applications and conduct preliminary tenant screening, including credit and background checks. - Communicate with applicants about application status and follow up on outstanding paperwork. - Verify references and financial status of applicants.
5. **Property Maintenance and Inspections** - Coordinate move-in and move-out inspections with tenants. - Ensure that maintenance requests are communicated to the maintenance team and property manager. - Help with routine property inspections to ensure the condition of the property meets company standards.
- Walk vacant units, make sure they're staged and presentable at all times.
6. **Administrative Support** - Answer phone calls and respond to emails from prospective and current tenants. - Handle leasing inquiries and documentation in a timely and organized manner. - Assist in the preparation of monthly/weekly reports and other necessary documentation for property management.
7. **Customer Service** - Provide outstanding customer service by addressing tenant concerns and ensuring a smooth leasing process. - Ensure that tenant requests are resolved promptly and efficiently.
8. **Compliance and Fair Housing** - Stay informed about local, state, and federal fair housing laws and regulations. - Assist in ensuring that leasing practices comply with legal requirements and company policies.
