About this position

 

We are seeking a friendly, organized, and compassionate Front Office Administrator to join our dynamic, child-focused dental practice. In this role, you will be the first point of contact for our patients and their families, helping to create a warm and welcoming environment. Your responsibilities will be essential to the overall patient experience, supporting both clinical and administrative functions to ensure each visit runs smoothly and efficiently. 


Responsibilities:

  • Greet patients and families warmly and professionally upon arrival
  • Check patients in and out, verifying demographic and insurance information
  • Schedule, confirm, and reschedule appointments
  • Answer phone calls, respond to inquiries, and handle voicemail messages promptly
  • Maintain patient records and ensure HIPAA compliance at all times
  • Verify insurance eligibility and benefits prior to appointments
  • Collect and process patient payments, co-pays, and outstanding balances
  • Provide clear explanations of treatment plans, financial policies, and insurance estimates
  • Assist in maintaining a clean, organized, and child-friendly front office environment
  • Communicate effectively with clinical staff to ensure smooth patient flow and scheduling
  • Follow up with patients for recall, treatment scheduling, or no-shows
  • Support patients with special needs or anxieties, ensuring a positive experience for children and parents
  • Help coordinate referrals and manage incoming/outgoing records or forms


Skills:

  • Friendly and professional communication with children, parents, and team members
  • Strong customer service skills with a positive, solution-oriented attitude
  • Excellent organizational and multitasking abilities in a fast-paced environment
  • Experience with dental software (Open Dental preferred, but not required)
  • Working knowledge of dental insurance verification and claims processing
  • Ability to maintain accuracy and attention to detail
  • Comfort handling financial transactions, including co-pays and account balances
  • Team-oriented mindset with a willingness to support both front and back office when needed
  • Reliable, punctual, and able to maintain patient confidentiality (HIPAA compliant)

Salary Information

$16 - $20 Hourly Wage

Requirements

  • High school diploma or equivalent; completion of a dental assisting program is preferred
  • CPR Certification (within 60 days of hire)
  • Excellent interpersonal and communication skills, particularly in interacting with children and parents
  • Strong organizational and multitasking abilities, with exceptional attention to detail
  • Ability to work effectively in a fast-paced environment while ensuring patient comfort and safety
  • Proficiency in using dental software and computer applications for record-keeping and scheduling
  • Knowledge of dental procedures and terminology, specifically related to pediatric dentistry
  • A genuine passion for working with children and a commitment to delivering outstanding pediatric dental care
