Job Summary
The Administrative Assistant provides high-level administrative and clerical support to executive leadership, our offices and teams. This role requires strong organizational skills, discretion, and the ability to work with sensitive, proprietary, and export-controlled information while supporting daily office operations.
Essential Duties and Responsibilities
• Provide administrative support to leadership, program managers, engineers, and cross-functional teams
• Prepare, format, and distribute correspondence, reports, presentations, and technical documents
• Maintain electronic and physical filing systems, including ITAR-controlled and confidential materials
• Schedule meetings, manage calendars, coordinate conference rooms, and arrange secure teleconferences
• Track action items, deadlines, and project documentation
• Process travel requests, expense reports, and purchase requisitions in accordance with company and government policies
• Assist with contract documentation, compliance records, and audit preparation
• Administrative support to Human Resources as needed
• Maintain office supplies, food & drinks, schedule meals or events as needed.
• Maintain visitor logs and support facility security procedures
• Follow document control, version tracking, and records retention requirements
• Serve as a professional point of contact for internal and external stakeholders
• Compliance with all federal, state and local regulations relevant to our industry as well as all applicable company policies and procedures.
• Perform other related duties as assigned.
Qualifications
• Authorized U.S. Person under ITAR.
• Must be lawfully permitted and comfortable working in facilities with access to firearms and munitions.
• Ability to work onsite in Tampa and occasionally travel to Sarasota.
• High school diploma or equivalent required; post-secondary education (Associate’s degree or higher) preferred
• 3+ years of administrative or office support experience, preferably in a government, aerospace, or defense environment
• Strong proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
• Excellent organizational, communication, and time-management skills
• Ability to handle multiple priorities and meet deadlines in a fast-paced environment
• High level of professionalism, discretion, and attention to detail
Physical Demands & Abilities
• Prolonged sitting and computer use
• Prolonged standing and walking at occasional events such as SOF Week.
• Frequent lifting or exerting upwards of 25lbs, Occasional lifting up to 50 lbs.
Working Conditions:
This position requires daily on-site presence at our Tampa office, serving as primary point of contact at the front desk for visitor reception and check-in. The role may also provide occasional administrative support at our Sarasota office and assist with domestic corporate events as needed. Minimal domestic travel may be required.
