Position Summary

The Group Sales Supervisor plays a key role in driving group business for the hotel while overseeing essential sales coordination functions. This position acts as the primary contact for group leads from inquiry through execution, ensuring a seamless transition from sales to operations. The ideal candidate is highly organized, sales-driven, and comfortable managing multiple group accounts while maintaining accurate documentation and exceptional client communication.


This role functions similarly to a Sales Manager, with a strong focus on group sales, contracting, and operational coordination.

Key Responsibilities

Group Sales & Account Management

  • Respond promptly and professionally to incoming group sales leads via phone, email, and third-party channels
  • Qualify group inquiries and develop appropriate proposals based on availability, pricing, and hotel strategy
  • Negotiate rates and concessions within established guidelines
  • Prepare, send, and follow up on group contracts to secure signed agreements
  • Maintain ongoing communication with group clients to ensure expectations are met and exceeded
  • Upsell hotel services and amenities when appropriate

Sales Coordination & Administration

  • Prepare and manage group resumes, rooming lists, and related documentation
  • Create, review, and distribute accurate Banquet Event Orders (BEOs) in coordination with Events, Catering, and Operations teams
  • Ensure all group details are clearly communicated to internal departments
  • Maintain accurate and up-to-date records in the sales and property management systems
  • Assist with forecasting group business and tracking pace reports

Internal Collaboration & Operations

  • Act as a liaison between Sales, Catering, Front Office, and other hotel departments
  • Participate in weekly sales and operations meetings as needed
  • Ensure smooth handoff of group business from sales to execution
  • Support the Vice President with additional projects as assigned

Qualifications

  • Minimum of 2 years of hotel sales, group sales, or sales coordination experience preferred
  • Strong understanding of group sales processes, contracts, and BEOs
  • Excellent written and verbal communication skills
  • Highly organized with strong attention to detail
  • Ability to manage multiple accounts and deadlines simultaneously
  • Proficient in hotel sales and PMS systems (FOSSE preferred)
  • Self-motivated with a customer-focused mindset


Salary Information

$20.00 - $21.00 Hourly Wage
