About this position

The Payroll Specialist will be responsible for processing and managing the organization's payroll functions in compliance with federal, state, and local regulations, specifically in Pennsylvania. This position ensures accurate and timely payment to employees while maintaining detailed records and handling payroll inquiries.

Key Responsibilities
  • Process and administer payroll for all employees accurately and on time.

  • Calculate wages, bonuses, deductions, and tax withholdings in accordance with company policies and Pennsylvania state regulations.

  • Ensure compliance with federal and Pennsylvania employment laws, including overtime, minimum wage, and tax reporting.

  • Maintain employee payroll records, including new hires, terminations, leave, and benefits changes.

  • Prepare and submit payroll tax reports and payments to appropriate federal and Pennsylvania tax authorities.

  • Respond to employee inquiries regarding payroll, tax withholding, and benefits deductions.

  • Collaborate with HR and accounting departments to ensure payroll accuracy and resolve payroll discrepancies.

  • Reconcile payroll data and prepare payroll reports for management.

  • Keep up to date on changes in payroll laws and regulations in Pennsylvania and ensure compliance.

  • Assist with audits and payroll-related documentation as needed.

  • Required Skills and Qualifications
  • Proven experience in payroll administration or related accounting/finance role.

  • Strong knowledge of payroll systems and software (e.g., ADP, Paychex, QuickBooks).

  • Familiarity with Pennsylvania state labor laws and payroll tax requirements.

  • Excellent attention to detail and accuracy in data entry and payroll calculations.

  • Strong organizational and time management skills to meet payroll deadlines.

  • Ability to handle confidential and sensitive information with discretion.

  • Good interpersonal and communication skills for employee interaction.

  • Proficiency in Microsoft Excel and payroll software applications.

  • Education and Experience
  • High school diploma or equivalent required; associate or bachelor’s degree in accounting, finance, or related field preferred.

  • Payroll certification (e.g., Certified Payroll Professional) is a plus.

  • Minimum of 2 years of payroll processing experience preferred.
