1.0     SUMMARY OF DUTIES

Oversee and manage the process of distribution and maintenance of controlled documentation using a document control system.


2.0     REPORTS TO / SUPERVISES 

Reports To:              Site Operations Vice President, Project Manager 

Supervises:              Document Control Clerks

 

3.0     RESPONSIBILITIES 

This position will have the following general/minimum responsibilities: 

  • Responsible for collecting quality documents (ITP, WPS, NDE Proc., etc.) and submitting with transmittal to clients for approval.
  • Create quality/document index for the project as required to comply with each project document control requirements and specifications.
  • After quality documents are returned approved, stamp AFC stamp, add job number, date and initials and enter on drawing register.  Issue out appropriate copies to shop and QC.
  • Generate data book table of contents for all jobs according to project requirements and instruct document team to begin data book binder to add data to as it becomes available.
  • Create Project Manager check list in project folder, assigning SII serial number.
  • Create and updated client furnished material spreadsheet from client delivery tickets.  Send out email notification to project management, production, QC and client after delivery is recorded and scan into project.  
  • Enter MTR’s into SII MTR data base, assign SII code number and maintain MTR using project specific requirements.
  • Maintain controlled copy of Quality Manual and Operating Procedures.  Issue controlled and uncontrolled copies per request.
  • Assist with implementation of operating procedures and local work instructions.
  • Maintain network folders and assist with client audits
  • Coordinate review of reports, MTR’s, data books with on-site client inspectors.  Achieve final approval of books and send to clients.
  • Oversee production and manage workforce of document control clerks.


4.0     EDUCATION / EXPERIENCE / KNOWLEDGE 

The following education, experience and knowledge are preferred for this position:

  • High School Diploma or its equivalent.
  • Ten years of experience in the field or related area; five or more years of subsea detailed documentation preferred.
  • Good written and verbal communication skills.
  • Knowledge of MS Office software and Adobe
  • Good customer relations skills.

 

5.0     WORK ENVIRONMENT/PHYSICAL DEMANDS 

  • Working conditions are normal for an office environment.  
  • Frequent sitting and operating a computer.
  • May involve trips to shop and to other offices in the facility.  Some exposure to possible shop hazards including high noise, heavy machinery and shop traffic.
