FirstHealth of the Carolinas is seeking a detail-oriented and highly organized Imaging Services Administrative Support Coordinator to join our Imaging Services team. This role provides essential administrative support to the Imaging Services leadership and radiology staff. The ideal candidate will thrive in a fast-paced healthcare environment and demonstrate strong multitasking, communication, and organizational skills.



Responsibilities

  • Help coordinate onboarding activities for new staff and providers, including scheduling and documentation.
  • Support Imaging Services leadership by organizing meetings, preparing agendas, taking minutes, and tracking follow-up tasks.
  • Maintain personnel files and process payroll documents.
  • Develop and edit presentations and communications using MS Office tools.
  • Manage confidential data with discretion and accuracy.
  • Set up multimedia equipment for meetings and presentations.
  • Ensure timely dissemination of information and updates to the leadership team and others.
  • Assist in planning and executing special events.
  • Serve as a liaison between Imaging Services and internal departments (HR, Risk Management, etc.).
  • Orient new staff on administrative processes and office equipment.
  • Maintain organized electronic and physical filing systems.


Qualifications

Education & Training:

  • Associate degree in business preferred.
    • Must have supplemental formal training and/or on-the-job training approved by hospital.
    • Knowledge of medical terminology
  • Advanced proficiency in Microsoft Word, Excel, PowerPoint, Outlook.

Experience:

  • Minimum of 3 years as an Administrative Assistant.

Software Proficiency:

  • Required: MS Office Suite (Word, Excel, PowerPoint, Outlook, Teams)

Skills:

  • Strong writing, editing, and communication skills.
  • Excellent time management and organizational abilities.
  • Ability to multitask and prioritize in a fast-paced, sometimes chaotic environment.
  • High level of discretion with confidential information.
  • Ability to work independently and anticipate needs.

Working Conditions & Physical Requirements

  • Primarily office-based with occasional travel to other FirstHealth or community locations.
  • Requires sitting, standing, walking, and occasional lifting.
  • Must be able to operate office equipment and communicate clearly.
  • Fast-paced and potentially stressful environment with multiple concurrent demands.
