SHIFT: Monday – Thursday from 8 AM to 5 PM; Friday from 8 AM to 3 PM
Job Summary:
The New Patient Coordinator is responsible for scheduling New Patients as well as providing excellent customer/patient service, scheduling appointments, verifying insurance, and providing necessary documents needed for the first appointment. Employee will adhere to and comply with the RA Code of Conduct, RA Employee Handbook, and HIPAA Compliance.
Essential Functions and Responsibilities:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The responsibilities listed below are representative, but not all-inclusive, of the duties required to perform this job.
- Answering incoming calls for appointment scheduling
- Contact patients who request appointments
- Contact patients regarding physician referrals
- Insurance verification to ensure in-network status (i.e., using Availity and/or other similar sites)
- Identify HMO Plans that require authorization/referral
- Explain insurance benefits and payment responsibility due at time of service
- Obtain accurate demographic information
- Creating new patient accounts
- Schedule New Patient and follow-up appointments
- Fax medical record request form to patient’s referring physician or PCP
- Send New Patient Packet and appointment details to patient

- Outstanding customer service skills.
- Ability to listen to get clarification from patients and insurance representatives.
Education and Experience:
- Minimum of 2 years’ experience in a doctor’s office (specialty experience preferred).
- Bilingual (English/Spanish required).
- Knowledge of insurance verification, referrals, and prior authorizations.
- Strong organizational skills with attention to detail.
- Excellent communication and customer service skills.
- Ability to multitask in a fast-paced environment.
- Familiarity with EMR systems (eClinicalWorks a plus).
- Call center experience is a plus.
