GreEnergy Resources, LLC is seeking a proactive and detail-oriented team member to support purchasing, logistics, and daily office operations. This role plays a key part in coordinating purchase orders, managing shipments, and ensuring accurate documentation across operational workflows. The ideal candidate is organized, responsive, and capable of managing multiple priorities in a fast-paced environment.

Key Responsibilities:

  • Provide administrative support to staff and teams, including document preparation, proofreading, and distribution
  • Create and enter purchase orders, ensuring proper documentation and confirmation of customer approval or issued POs prior to processing
  • Coordinate purchasing activities in support of Operations, including order placement and tracking
  • Assist with accounts payable processing to ensure accurate financial documentation
  • Receive and process inbound shipments, ensuring accurate documentation and internal distribution
  • Prepare and ship outbound orders, including creating and processing UPS labels
  • Coordinate LTL (Less-Than-Truckload) shipments, including scheduling, documentation, and carrier communication
  • Track shipments, monitor delivery status, and communicate updates to relevant teams
  • Review and process freight-related invoices in alignment with departmental requirements
  • Manage mail retrieval, package distribution, and shipping supplies
  • Answer and route incoming calls professionally or take detailed messages
  • Maintain accurate logistics and administrative records while handling confidential information with discretion

Requirements:

 

Required Qualifications:

  • High school diploma or equivalent; associate’s or bachelor’s degree preferred
  • Proven experience as an administrative assistant, office assistant, or in a relevant role
  • Proficiency in Google Workspace / Microsoft Office Suite
  • Exceptional organizational, time management, and multitasking skills
  • Strong verbal and written communication skills
  • Ability to handle complex tasks independently with minimal supervision
  • Attention to detail and ability to manage large amounts of information
