Role Description:

The Recruiting Coordinator position oversees and delivers full spectrum recruiting activities within Chicago History Museum. The Recruiting Coordinator facilitates the recruiting process from job requisitions through the employee onboarding experience. Additionally, this position will provide HR support to the HR Generalist and Senior Director of Human Resources.


Key Responsibilities:

Functional key contributor in the design and execution of the divisional sourcing strategy to identify and attract both passive and active candidates through existing and new resources

Remains current on industry conditions, talent acquisition trends & market intelligence

Maintains continuous networking and pipelining activities while deploying creative search techniques to source qualified candidates

Participates in recruiting events such as local/national career fairs, special events or functions

Facilitates full cycle recruiting process

Consults with hiring managers to determine detailed, job specific preferred qualifications

Applies detailed understanding of the business needs to the recruiting process better identify candidates and ensure position matching of job skills and qualifications

Targets the most qualified candidates and screens resumes to identify potential matches

Fosters strong candidate and internal customer relationships

Facilitates the candidate/client interview and prepares the candidate for the interview

Creates and maintains recruiting calendar

Monitors and tracks application status and metrics

Evaluates outstanding hiring issues and recommend alternatives to facilitate the hiring process

Manages the Affirmative Action process, including Applicant Flow for all posted positions

Champions HR support projects as assigned

Administrator of the applicant tracking system.

Responsible for entry, maintenance, and integrity of data in the applicant tracking system.

Facilitate job posting in the applicant tracking system and third-party job boards, maintaining accurate job postings based on agency needs.

Manage onboarding process including, but not limited to, preparation of offer letters, communicating pre-employment requirements to candidates and ensuring requirements are completed prior to start date, and completing background checks.

Ensure agency compliance with applicable federal, state, and local laws as well as requirements by entities that oversee agency programs, accreditation, and licensure.

Screen applicants and schedule interviews for hiring managers.

Communicate professionally and effectively with all parties involved in the recruitment and onboarding processes, responding to inquiries in a timely manner, and proactively communicating to candidates throughout the onboarding process.

Maintain organized, accurate and complete electronic employee files.

Perform various administrative duties that support the recruitment, onboarding, and compliance.

Assist in ongoing process improvement initiatives for recruitment, onboarding, and compliance.

Maintain confidentiality of sensitive information including but not limited to personally identifiable information, and information protected under HIPAA.

Perform other duties assigned.

Requirements:

Minimum 2 years experience in Recruiting roles with end-to-end, high-volume experiences a must

Minimum 2 years experience supporting the Human Resources function for CHM.

Demonstrated success in fostering strong candidate and internal customer relationships

Ability to work well under pressure in a fast-paced, metrics-driven environment.

Strong organizational skills, attention to detail, ability to multi-task
