Our Brooklyn facility serves as the central point for culinary preparation, vendor coordination, inventory management, and fulfillment for our growing portfolio of brands.
Position Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to support the daily operations of our production kitchen and warehouse facility. The ideal candidate is proactive, reliable, and comfortable in a fast-paced, production-driven environment. This role is essential to ensuring smooth communication between departments, maintaining accurate records, and supporting logistics and operational needs across Bright Eye Productions.
Key Responsibilities
Provide administrative support to the Production Manager and departmental leads
Manage and organize documentation related to inventory, vendor deliveries, and kitchen operations
Monitor and update internal schedules, prep lists, and delivery logs
Maintain accurate records of product movement and order fulfillment
Assist in coordinating communication between the commissary, warehouse, grocery locations, and café teams
Support inventory tracking and ordering by communicating with procurement and warehouse teams
Answer emails and calls in a professional and timely manner
Prepare internal reports as requested (e.g., inventory summaries, staff schedules, delivery status)
Maintain office supply inventory and place replenishment orders as needed
Assist with new hire onboarding documentation and team schedule coordination
Uphold cleanliness, safety, and compliance standards in shared office and admin spaces
Qualifications
1–2 years of administrative or operations support experience (preferably in food production, hospitality, or logistics)
Excellent written and verbal communication skills
Strong organizational and time management skills; ability to prioritize and multitask
Proficiency in Microsoft Office, Google Workspace, and general office equipment
Familiarity with kitchen production environments or warehouse operations is a plus
Ability to work independently in a fast-paced, dynamic setting
Detail-oriented with a problem-solving mindset
Must be comfortable being on-site full time
