Position Summary:
Supports the financial operations of the Organization by maintaining accurate financial records, preparing reports, and ensuring compliance with accounting standards and nonprofit regulations. This role is responsible for coordinating systems related to payment of financial obligations and vendor relationships. Primarily responsible for Accounts Payable processing, payroll processing, daily deposits, and account reconciliations.
General Purpose:
The Staff Accountant is responsible for supporting the day-to-day accounting operations of the Organization. This role ensures accurate reporting, maintains general ledger integrity, and assists with month-end and year-end closing processes. Additionally, it delivers services and support in accordance with Night Ministry vision and purpose.
Position Responsibilities:
- Coordinate the full cycle of Accounts Payable operations, including processing payments and maintaining organized and up-to-date vendor files. Route invoices to appropriate individuals for timely approval and ensure all reimbursement and check requests are accurate and properly authorized prior to payment. Collaborate with vendors to resolve billing discrepancies and verify invoice accuracy. Monitor outstanding Accounts Payable checks and investigate issues related to vendor payments.
- Record and process expenditures by entering approved invoices and check requests into the accounting system. Ensure accuracy in account coding relative to the approved budget. Generate checks or electronic payments, obtain necessary approvals, and ensure timely and accurate disbursement to vendors.
- Reconcile and deposit daily receipts, including checks and cash, ensuring efficient and correct recording in the accounting system, and secure delivery to the bank or remote deposit.
- Monitor and maintain compliance with generally accepted accounting principles, funding source requirements and applicable government regulations to ensure financial integrity and audit readiness.
- Complete month-end and year-end general ledger closings efficiently to prepare internal financial statements and schedules.
- Administer bi-weekly payroll, in collaboration with People & Culture, by verifying employee data in Paylocity. Distribute physical checks to Organization staff when needed.
- Prepare and post bi-weekly payroll journal entries, allocating salaries across grants and departments in accordance with approved budgets and funding guidelines.
- Collaborate with the Government Grants Manager to prepare and finalize the monthly grant vouchering worksheet by compiling and validating supporting documentation for allowable expenses, ensuring compliant, timely and well-documented submissions to funding agencies.
- Prepare reports requested by other department directors in an efficient and accurate manner.
- Assist Manager of Accounting in completion of accounts payable aging report, prepaid expense schedule, and deferred payroll schedule.
- Attentive and responsive to emails, Microsoft teams, and phone calls. Required to attend and contribute to regularly scheduled Accounting & Finance team meetings.

Essential Skills and Experience:
- Demonstrates strong interpersonal and communication skills, fostering effective collaboration with internal teams, external partners, funders, and vendors to support organization goals and maintain positive working relationships.
- Possess in-depth knowledge of Generally Accepted Accounting Principles (GAAP), with a specific focus on nonprofits, including accrual accounting, fund accounting, grant compliance and donor restrictions.
- Proficient in Microsoft Office Suite, including Excel, Word, PowerPoint, and OneNote, with experience using SharePoint for document management and team collaboration.
- Strong attention to detail and demonstrates intellectual curiosity, initiative and resourcefulness.
- Multi-tasker with the ability to work in a fast-paced environment and handle multiple projects.
- Accounting or Finance degree - required
- Minimum two years’ experience with full-cycle accounts payable processing, account reconciliations, and payroll processing.
- Public Accounting experience, desirable.
- Pursuing CPA certification or CPA eligible, desirable.
- QuickBooks accounting software experience is strongly preferred.
