Job Description: Shipping Coordinator

Location: Prospect Heights, IL
Department: Shipping
Reports To: Shipping Manager


Position Summary

The Shipping Coordinator is responsible for the accurate, timely, and secure preparation and shipment of outgoing dental cases to ensure on-time delivery and customer satisfaction. This role verifies completed cases, packages restorations according to lab standards, prepares shipping documentation, and coordinates with carriers and internal teams to maintain smooth workflow. The Shipping Coordinator plays a critical role in turnaround time, quality assurance, and the final customer experience.


Key Responsibilities & Essential Functions


· Case Preparation, Packaging & Organization

Verify completed cases against work orders and prescriptions prior to shipment.

Carefully package dental restorations and supporting materials following lab quality and protection standards.

Label and organize outgoing shipments to ensure proper routing and delivery accuracy.

Maintain organized staging areas for outgoing cases to support workflow efficiency.


· Shipping & Documentation

Prepare shipping labels, documentation, and manifests using approved carriers and systems.

Ensure all cases are shipped according to due dates, priority levels, and service requirements.

Track outgoing shipments and confirm carrier pickups daily.

Maintain accurate shipping records in lab systems.


· Communication & Coordination

Coordinate closely with Production, Customer Care, and Case Entry teams to prioritize urgent shipments.

Communicate delays, issues, or discrepancies promptly using established procedures.

Assist with resolving shipping errors, damaged returns, or misrouted packages.


· Receiving & Support Duties

Assist with incoming shipments when needed, including sorting and distribution.

Support general operational tasks such as stocking shipping supplies and maintaining workstations.

Contribute to continuous workflow improvements and process efficiency.


Quality & Performance Expectations

· Maintain high accuracy in packaging, labeling, and shipment preparation.

· Consistently meet shipping deadlines and support lab turnaround-time goals.

· Demonstrate attention to detail to prevent shipping errors, remakes, or delays.

· Maintain clean, organized, and compliant work areas.


Preferred Qualifications

· Experience in a dental laboratory, healthcare, or regulated environment.

· Familiarity with shipping carriers (FedEx, UPS, etc.) and tracking systems.

· Experience handling fragile or high-value products.

Work Environment & Physical Requirements

· Full-time Monday - Friday, on-site in Prospect Heights, IL. 

· Work performed in a dental laboratory/production environment.

· Ability to stand for extended periods and perform repetitive tasks.

· Ability to lift/move packages (within reasonable limits).

· No travel required.

Required Qualifications


· High School Diploma or equivalent.

· 1+ year experience in shipping, logistics, warehouse, production, or similar environment preferred.

· Strong organizational skills and attention to detail.

· Basic computer proficiency and ability to learn lab systems and shipping software.

· Ability to work efficiently in a fast-paced production environment.

· Strong teamwork and communication skills.
