- Coordinating student rotations. Responsible for tracking all student-credentialing requirements necessary for each rotation.
- Maintaining accurate and organized rotation records for the students in a confidential manner ensuring ethical and legal guidelines are maintained. Ensuring student compliance with policies regarding immunizations, health insurance, and up to date certifications starting half way through didactic year.
- Continuously monitor and support local and CHC sites for both academic and administrative requirements. Assemble accurate and complete student packets for onboarding CHC students prior to August start.
- Serving as a liaison between students, faculty and preceptors and on a range of academic, administrative and/or personal issues as required.
- Maintaining positive working relationship with hospitals, preceptor sites and CHC administrative staff.
- Initiating open dialog with didactic staff to help with mainstreaming information and provide new ideas to combine didactic and clinical year student tracking.
- Providing administrative support for clinical director and coordinators in support of their duties.
- Managing student evaluation / monitoring minimum skill requirements to assure all graduation requirements are met.
- Assigning and maintaining unique preceptor ID roster for mid-point and final evaluations.
- Processing Google document rotation check in and preceptor/site evaluation. Reporting any red flags to clinical team and keep open positive communication with students.
- Maintaining monthly review of all active clinical affiliation agreements and preceptors. Working closely with Clinical Affairs identifying affiliation agreements close to expiring. Searching, recording and filing updated preceptor state licenses.
- Tracking and submitting clinical preceptor rotation and CHC quarterly payments.
- Proctoring End of Rotation clinical exam, make-ups and any other administered testing on campus.
- Working with students, faculty, preceptors and rotation site support personnel in a professional manner to coordinate changes and/or modification to rotations or schedules. Scheduling meeting with essential hospitals coordinators as needed to ensure school is doing everything possible to confirm smooth rotation entry.
- Providing prompt and accurate feedback to Clinical Team regarding concerns or successes with rotation or student evaluation of preceptor.
- Organizing and presenting updated PowerPoint material for Clinical Orientation presentation. Lead presenter of CV PowerPoint presentation for didactic students ensuring final CV is on file before rotations start.
- Managing data input of new and updating preceptors and sites into Typhon system. Compile and maintain preceptor files in G-drive.
- Supporting department with interview day, white coat, graduation and any other special occasions.
- Tracking and distributing Category 2 CME letters to eligible preceptors each October.
- Assisting clinical team with assignments of student rotation schedule and notifying appointed preceptors.
- Monday morning check-ins: uploading the roster and submitting for release to students.
- PAARS: receive the student request and upload into the system for clinical director to approve or decline student request.
- All evaluation auto crating: checking all submitted evaluations from the link and auto crating for grade.
Education & Experience:
- Bachelors Degree
- Two years proven organizational experience in academic, health care or similar environment.
- Credentialing experience preferred.
- Capability of working independently.
- Excellent organizational and time management skills.
- Ability to manage multiple tasks and projects simultaneously.
- Cooperative and able to work in team situations.
