Summary:

The Administrative Assistant – HR & IT Support provides administrative and operational support for human resources and internal systems functions. This role is responsible for coordinating HR processes, tracking and following up on transactional activities, and serving as a first point of contact for internal support needs.

The position requires strong organizational skills and comfort working with technology but does not require advanced technical expertise. More complex technical issues are escalated to the company’s managed IT provider.

Essential Duties and Responsibilities (Other duties may be assigned)

Human Resources Support

  • Monitor daily timekeeping reports and follow up on missing punches with employees and supervisors.
  • Track and manage employee absence reporting, including documentation, notifications, and follow-up.
  • Assist with applicant screening by reviewing submissions, coordinating interviews, and maintaining accurate hiring records.
  • Coordinate internal employee training participation (excluding independent contractor/agent compliance training), including reminders, progress tracking, and follow-up.
  • Support HR communications and initiatives, including coordinating meetings, internal events, and employee communications.
  • Handle sensitive employee information with professionalism, discretion, and confidentiality.
  • General Administrative Support

  • Monitor and manage shared inboxes; respond to or route inquiries appropriately and ensure timely follow-up.
  • Maintain accurate, organized digital files and records in accordance with company standards.
  • Develop and maintain documentation, checklists, and standard procedures related to HR and internal support processes.
  • Provide backup administrative support for other departments, including Property Management, HOA, and Field Services, as needed.
  • Internal Help Desk Support

  • Serve as a first point of contact for employees seeking assistance with HR-related questions, internal systems, or general administrative support.
  • Track open requests and ensure issues are documented, followed up on, and resolved in a timely manner.
  • Provide guidance and support to help team members effectively navigate internal processes and tools.
  • Information Technology & Internal Systems Support

  • Act as the primary administrative contact for internal technology support and coordination.
  • Provide basic, first-level troubleshooting for common system and access issues; escalate more complex matters to the managed IT provider.
  • Coordinate onboarding and offboarding tasks related to system access, hardware, and internal tools.
  • Manage the setup, organization, and ongoing maintenance of the company’s SharePoint environment, including structure, permissions, and content organization.
  • Support internal platforms such as Monday.com and approved AI tools by assisting users, maintaining documentation, and helping promote consistent usage.
  • Coordinate with the managed IT vendor to track issues, follow up on resolutions, and ensure communication with internal stakeholders.

  • Education & Experience

  • Prior experience in an administrative or operational support role required.
  • Exposure to human resources processes or internal systems support preferred.
  • Strong comfort with technology and a willingness to learn new systems required.
  • Experience with Microsoft Outlook, Teams, SharePoint, and task or project management tools preferred.

  • Salary Information

    $19.0 - $23.0 Hourly Wage
