Shift and Schedule: Monday-Friday 8am-5pm; Occasional nights/ weekends
Job Summary:
The Facilities Manager oversees and directs CBCST operations for information technology, and functionality of the building and executes his/her duties in accordance with the Centers strategic plan and operating/capital budgets. Reporting to the Chief Financial Officer, the Facilities Manager is responsible for ensuring the property is well-maintained, safe, and meets all health and safety standards. This includes managing maintenance, repairs, cleaning, and other essential services as well as supervising contractors.
Essential Functions/Performance Requirements:
A. JOB DUTIES AND RESPONSIBILITIES:
1. Facility Operations (Security, Access, and Maintenance):
Manage key relationships with contractors for AV/Access, Security/Fire Alarm Monitoring, Janitorial Services, Grounds Maintenance, Handyman Services, and other vendors (locksmith, window cleaners, pest control, etc.) to ensure safe, efficient, and effective use and care of the facility.
Negotiate/re-negotiate or terminate contracts as needed; develop and execute a plan to ensure adequate contract compliance, performance, and service delivery.
Manage the facility budget, including expenses for maintenance, repairs supplied and services.
Develop and execute a plan to address daily, weekly, monthly, quarterly, and annual facility maintenance needs.
Manage building security and access plan, including assignment of keys, alarm codes (Alarm.com) and access fobs.
Maintain schedule for annual safety inspections (ex: elevator and fire extinguishers).
Ability to adapt to changing needs and priorities and manage unexpected situations effectively.
2. Information Technology and Telecommunications:
- Manage key relationship with IT Managed Support contractor to:
- Ensure efficient and effective deployment of enterprise-wide telecommunications/internet, computing, and data systems.
- Execute an inventory management plan to ensure timely repair and/or replacement of damaged or aging IT supplies and equipment
- Approve purchases and invoices for technology supplies and equipment.
- Manage user profiles including adding and removing users from network and guiding job specific access to network drives.
- Protect security of network from potential malicious activity (hacking, phishing)
- Coordinate staff training to increase competence in use of Information technology, software, network security, and phone system usage.
- Assist staff with in house IT needs (equipment setup, troubleshooting, etc.).
- Complete other duties as assigned.
B. ADMINISTRATION
Establish goals and objectives that are in accordance with the organizations mission, policies, and strategic plan.
Attend all Staff meetings.
Maintain vendor files and ensure appropriate documentation for cash (i.e., checks) disbursements for purchases/invoices.
Manage the facility budget, track expenses and identify cost-saving opportunities.
C. COLLABORATION
Cooperate with senior leadership (executive, development, program, accounting) and support compliance and reporting efforts across the enterprise.
Assist Development staff with fundraising and special events as needed.
Maintain open and effective communication and positive/productive relationships within all internal and external relationships.
QUALIFICATIONS AND EDUCATION REQUIREMENTS
1. Education: Bachelors degree and relevant work experience.
2. High level of personal integrity, professional ethics, and confidentiality.
3. Bi-lingual (English/Spanish) preferred.
4. 5 years experience in facilities management, preferably in a non-profit organization.
5. Proficient in Microsoft Office suite.
6. Proficient writing and communication skills.
7. Excellent time management and multi-tasking skills.
8. Basic understanding of accounting and finance principles.
9. Strong problem-solving abilities.
10. Excellent people skills, teamwork, and customer service.
Physical Requirements:
Occasional lifting/carrying of 25 pounds; visual acuity; hand and eye coordination and manual dexterity necessary to operate a computer keyboard and basic office equipment. Subject to sitting, standing, reaching, walking, twisting, and kneeling to perform the essential functions. Working conditions are primarily inside an office environment.
