PAY RANGE: $62,800 - $72,000 or $30-$40 per hour.

OVERVIEW:
We are seeking a detail-oriented and highly organized Accounts Receivable Specialist to manage and oversee the company's incoming payments. The AR Specialist will be responsible for incoming contract organization and compliance, invoicing, collections, reconciliations, and ensuring timely payments from clients. The ideal candidate will have a strong understanding of accounting principles, excellent communication skills, and the ability to resolve billing discrepancies efficiently.

TASKS, DUTIES, FUNCTIONS:

  • Intake all new contracts and provide all required documents.
  • Input contract line items and budgets into accounting software.
  • Manage and work with field crew to oversee daily work tickets to ensure matching with contract documents
  • Generate and distribute invoices to customers accurately and in a timely manner.
  • Monitor accounts for overdue payments and follow up on outstanding balances via phone, email, or written communication.
  • Post customer payments by recording cash, checks, and credit card transactions.
  • Reconcile accounts receivable ledger to ensure all payments are accounted for and properly recorded.
  • Investigate and resolve billing discrepancies or disputes with customers.
  • Maintain accurate records of all AR transactions, including aging reports and collection activities.
  • Work closely with the sales and customer service teams to ensure a seamless billing and collections process.
  • Prepare AR reports and provide updates on collection status to management.
  • Assist with month-end closing activities, including account reconciliations and financial reporting.
  • Ensure compliance with company policies and financial regulations.

REQUIREMENTS:

  • High School Diploma or equivalency preferred
  • Bachelor's degree in Accounting, Finance, Business Administration, or a related field (preferred).
  • Experience in accounts receivable, billing, or a similar accounting role.
  • Proficiency in accounting software (e.g., QuickBooks, SAP, NetSuite) and Microsoft Excel.
  • Strong attention to detail and ability to manage multiple tasks simultaneously.
  • Excellent communication and negotiation skills for handling collections.
  • Strong problem-solving abilities and ability to work independently or as part of a team.
  • Knowledge of GAAP and financial reporting principles is a plus.

  • Typical office environment, work location will be in Elk Grove .
  • May involve sitting for extended periods.
  • Occasional lifting and carrying of office supplies.
  • Exposure to computer screens and other office equipment .
  • May require working with confidential information
