Reporting to the Director of Finance & Legal, this is a role with an opportunity to make a significant impact on our company. The Indirect Tax Specialist is accountable for overseeing the indirect tax operations related to excise duties and vaping product regulations within our business. This role involves maintaining a comprehensive system for excise tax records, overseeing the excise duty ledger, and ensuring that excise duties are accurately declared to the governing authorities. The Indirect Tax Specialist coordinates excise duty refunds with governing authorities, handles internal and CRA audits and compliance requests, and monitors updates to excise-related regulations. The Indirect Tax Specialist enforces company indirect tax policies across the organization, ensuring that all processes are in full compliance with relevant legislation

Responsibilities:

  • Maintain federal excise and vaping product licenses.
  • Manage inventory, purchasing, reconciliation, and transfers of excise tax stamps.
  • Administer the excise tax inventory system.
  • Prepare, calculate, and file excise tax related returns.
  • Maintain excise related general ledger.
  • Manage detailed inventory activity records of input materials.
  • Ensure excise related fields on ERP are error-free.
  • Coordinate excise duty refund with respective governing authority.
  • Point of contact for CRA, handling regular audits, requests, and compliance requirements.
  • Perform internal audits on excise related process to ensure compliance
  • Analyze, report, support, and liaise with stakeholders regarding issues related to excise tax.
  • Manage and oversee all other indirect tax programs within the organization, ensuring compliance with relevant tax laws and regulations.
  • Monitor for any updates or changes to indirect tax related regulations, ensuring that all processes and operations remain in full compliance with current laws and guidelines.
  • Perform all reasonable work activities as assigned by manager.

Qualifications

  • 3 years’ experience in a tax related role.
  • Experience in a manufacturing or distribution organization is preferred.
  • Experience with excise tax is an asset.
  • Bachelor’s degree in business, accounting, finance, or related discipline
  • CPA or equivalent accounting designation is preferred
  • Experience using an enterprise resource planning software. NetSuite skills is preferred.
  • Proficiency with advanced skills in Microsoft office suite tools with heavy emphasize on Microsoft Excel.

What will make you successful?

You will need to be a strong problem solver with a deep understanding of indirect tax regulations, including excise duties and vaping product regulations. Your ability to assess the upstream and downstream impacts of internal decisions on tax compliance and cross-departmental processes will be critical. You must be able to conduct detailed analysis of excise tax data, tax returns, and inventory records, providing actionable insights that will enhance the efficiency and accuracy of tax-related processes. While completing assigned tasks such as preparing and filing excise tax returns, managing licenses, and ensuring ERP system accuracy are expected, your self-initiative, curiosity, and willingness to proactively monitor regulatory changes and suggest improvements based on thorough research will be a key asset.

What is expected of you?

Detail-oriented with strong capabilities in managing, analyzing, planning, organizing, and developing processes within the indirect tax function. Ability to ensure compliance with federal regulations, manage excise tax operations, and oversee the filing of related returns. Skilled in building and maintaining courteous and collaborative working relationships with both internal teams and external stakeholders, including the CRA and governing authorities. Proficient in communicating complex tax analysis and regulatory updates clearly and effectively to executive management and cross-functional teams.
