Position Purpose and Objectives

The Executive Administrator Assistant is crucial to effective and efficient day-to-day operations of any company. Those working in this position will usually provide high-level administrative support and are responsible for helping the organization in a variety of ways including bookkeeping, communications, scheduling, data entry, secretarial services and much more.

 

Essential Job Functions

  • Provides high-level administrative support and assistance
  • Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents.
  • Welcome and directs visitors and clients.
  • Manage office equipment.
  • Be highly skilled with EXCEL, WORD, POWERPOINT, and Microsoft FORMS
  • Maintain a clean and enjoyable working environment.  
  • Handle external and internal communication and management systems.
  • Manage COO”s calendar of meetings, appointments, and projects. Keeping COO informed daily.
  • Manage clerical or other administrative assignments as needed/requested by the COO.
  • Organize, arrange and coordinate meetings for the COO. Keep meeting minutes and provide post meeting email summarizing bullets points of meeting to all attendees.
  • Be highly professional in appearance and character. 
  • Performs other related duties as assigned. 
  • You will interact and work closely with the COO on a daily basis.

  • Excellent verbal and written communication skills. 
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to function well in a high-paced and at times stressful environment.
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
  • Extremely proficient with Microsoft Office, with the ability to learn new or updated software.
  • Self-Motivation. Stay engaged in your work.

 

Supervisory Responsibility

  • None.

Minimum Qualifications

  • Associate degree required. Bachelor’s degree in business administration or related field preferred.
  • Excellent written and verbal communication skills. 
  • Strong knowledge of Microsoft Office. 
  • At least four years of related experience required.

Salary Information

$21.0 - $24.0 Hourly Wage
