About this position

JOB SUMMARY

The Operations Associate manages the inflow and outflow of goods in a warehouse, focusing on accuracy, inventory tracking, and safety. They will be responsible for working closely with our supply chain team as well as 3rd party logistics sites in the areas of inventory control, supply replenishment, kit assembly, staging of systems for commercial shipments, order entry and release and as well as coordinating shipping logistics directly with our carriers to customer sites. This position is based in the Fremont, CA office. 

DUTIES & RESPONSIBILITIES

  • Support the Supply Chain Management Team mission by supporting optimized workflow and process instructions to ensure established and scalable processes to support company growth.
  • Unload, inspect incoming shipments for damage/discrepancies, and verify contents against purchase orders or packing slips.
  • Prepare, pack, label, and weigh items for shipment, while coordinating with carriers for pickups.
  • Update inventory records in databases/software, perform cycle counts, and ensure stock is organized.
  • Ensure that all assigned units have been inventoried, and requisitions are keyed and pulled accurately in a timely manner.
  • Safely operate equipment (e.g., forklifts, pallet jacks) to move materials.
  • Maintain accurate records of all daily shipments and receipts.
  • Report all near misses, potential, and actual errors to the team in a timely manner.
  • Keep the shipping/receiving dock, workspace, and storage areas clean and organized.
  • Coordinate with internal departments (e.g., Field Service, Clinical Support, and Customer Service) and vendors. 
  • Maintain a strong working knowledge of departmental standard operating procedures.
  • Perform other duties as assigned.

QUALIFICATIONS

Required:

  • High school diploma or GED equivalent.
  • Minimum 5+ years of warehouse or logistics experience.
  • Ability to communicate effectively in English, utilizing both verbal and writing skills.
  • Proficiency in computer systems (Microsoft Office) and RF scanners.
  • Must be able to operate machinery, i.e., pallet jacks and forklifts.
  • Demonstrated experience working with commercial carriers (i.e. FedEx, UPS, DHL) for domestic and international shipping. 
  • Experience with receiving of materials into an ERP database including creating inspection documents.
  • Attendance and punctuality are essential function of the position.
  • Knowledge of Good Manufacturing Practices (GMP) and applicable Quality System Standards.

Preferred:

  • Experience in operations at a medical device company.
  • Working knowledge of ERP and related systems.
  • Forklift certification.

PHYSICAL DEMANDS & WORK ENVIRONMENT

  • Must be able to remain in a stationary position and operate office equipment for a prolonged period of time. 
  • Physical activities include, but not limited to constant manual dexterity, moving about the work site, and/or handling objects weighing up to 50 lbs. 
  • Other infrequent physical activities include, but not limited to, positioning self to complete assigned tasks, and ascending/descending floors and/or ladders.
  • Occasionally work around moving mechanical parts.
  • Must be able to work in a schedule that commensurate with business operation, including work during weekends, holidays and/or times outside of normal business hours.
  • Must be able to travel as business necessitates (up to 5%).
