About this position
The UX Coordinator supports project coordination, content management, and operational workflows across multiple client deliverables. This role works closely with the project leads to track deliverables, manage documentation, and coordinate review cycles to ensure alignment with project timelines and client requirements. The coordinator maintains organized project resources, including workback schedules, content trackers, and collaboration tools such as Microsoft Teams and OneNote. The role also supports internal communication by monitoring task progress, routing content and feedback, and helping keep deliverables on schedule. This is a hybrid role based in Seattle, Washington.
Key Responsibilities
- Support the Creative Coordinator II in preparing and submitting monthly Proof of Execution (POE) reports, documenting completed deliverables and linking supporting assets.
- Communicate project status updates and deliverable progress to internal stakeholders to ensure alignment with client contracts.
- Prepare and distribute meeting notes, recordings, and action items, and follow up on outstanding tasks.
- Maintain daily team project updates and task tracking using a red/yellow/green status system to keep deliverables on schedule.
- Organize and maintain project documentation, folders, and shared resources across Microsoft Teams, OneNote, and project sites.
- Assist with development and maintenance of workback schedules and project timelines in coordination with multiple workstreams.
- Track and manage content submissions, updates, and change requests using content trackers and input documents.
- Coordinate content review cycles, including distributing review materials, collecting feedback, and ensuring feedback integration.
- Support internal team collaboration and prepare final deliverables for client submission.
- Provide administrative and documentation support to Project Leads, maintaining key project resources, contacts, and deadlines.
- Previous experience with content management in an event or project setting is preferred.
- Strong written and verbal communication skills.
- Highly organized with strong attention to detail; able to prioritize tasks in a fast-paced environment.
- Self-motivated with the ability to work independently as well as collaboratively.
- Positive, outgoing, and energetic, with a customer-focused approach to communication and teamwork.
Education & Experience
- Bachelor’s degree (B.A. / B.S.) or equivalent experience.
- 1+ years of experience in event coordination or project management in a professional setting.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Planner, OneNote).
