Executive Assistant – Job Description

We are seeking a highly organized, proactive Executive Assistant to serve as a strategic partner to our Director of Finance & Administration and President. This role is designed to increase executive capacity by managing priorities, coordinating workflows, and ensuring follow-through on key initiatives.

What You’ll Do:
Executive Support & Priority Management
- Manage and optimize executive calendars to align meetings and commitments with strategic priorities.
- Coordinate complex internal and external meetings, including scheduling, preparation of materials, and follow-up.
- Attend leadership meetings as needed; document notes, track action items, and monitor progress.
- Anticipate executive needs and proactively resolve issues.
- Screen and prioritize communications to protect leadership time.
Communication & Documentation
- Draft and format professional correspondence, reports, presentations, and spreadsheets.
- Prepare briefing materials and summaries for meetings and external engagements.
- Maintain organized electronic and physical files.
- Manage incoming mail and identify items requiring attention.
Project & Operational Coordination
- Support special projects and cross-functional initiatives.
- Maintain dashboards and tracking systems to ensure deadlines are met.
- Coordinate company events, executive meetings, and special functions.
- Facilitate travel arrangements, expense reporting, and related documentation.
- Perform occasional errands such as bank runs, permit deposits, and meeting procurement.
Confidentiality & Representation
- Handle sensitive information including financial data, contracts, personnel matters, and strategic initiatives with discretion.
- Represent Aradius Group professionally with internal teams, clients, vendors, and community partners.

What You Bring:
- Bachelor’s degree in a business-related field or equivalent experience.
- 3+ years of executive-level administrative support experience.
- Experience supporting multiple senior leaders preferred.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational, time management, and problem-solving skills.
