Office Management

  • Implementing administrative systems, such as filing and record management;
  • Recording office expenditure and managing the budget ;
  • Organising the office layout and maintaining supplies of inventory and equipment;
  • Manage and supervise subordinate staff by carrying out staff appraisals and managing performance, delegating work and managing their workload and output and
  • Promoting staff development and training
Administration 
  • Oversee centralized operations by ensuring operations run smoothly within departments such as information and data processing, mail, materials scheduling and distribution, records management, telecommunications management and security
  • Ensure contracts, insurance requirements, and government regulations and safety standards are followed properly.
  • Oversee support services.
  • Oversee the preparation, analysis, negotiation, and review of contracts related to the purchase or sale of equipment, materials, supplies, products, or services.
  • Handle the acquisition, distribution, and storage of equipment and supplies.
  • Supervise a building's operations and maintenance by planning long and short term maintenance needs, project planning and management, communication and technology integration 
  • Plan workspaces and oversee renovation projects.
  • Monitor facility for security.
  • Responding to customer enquiries and complaints;
  • Reviewing and updating health and safety policies and ensuring they are observed
  • The management of social media where deemed possible​​​​​​​
Compliance
  • It is also the primary objective of the title holder to champion the adoption, implementation and adherence to ISO 9000 Quality Management System by Alistair Group  
Responsibilities
  • Establish and maintain a working knowledge of ISO 9000, regulations and guidelines throughout the Group;
  • Develop, implement and administer a ISO 9000 reporting program to ensure all such regulatory reporting requirements are adhered to in an accurate manner;
  • Plan, organize, and control the day-to-day administrative compliance activities of the system by the Group;
