The Laboratory Operations & Reconciliation Assistant plays a critical operational role in ensuring 100% specimen traceability, accurate result reconciliation, and regulatory-ready documentation across our multi-site primary care network.
This position is ideal for someone highly detail-oriented, process-driven, and comfortable operating in a high-volume laboratory environment where accuracy is non-negotiable.
Position Overview
This role supports laboratory operations across 12+ primary care locations, with primary responsibility for specimen tracking, downtime documentation, and order/result reconciliation. You will collaborate with laboratory technicians, district leadership, and reference laboratories to ensure quality, compliance, and operational efficiency.
Key Responsibilities
Specimen Accession & Tracking
- Receive, inspect, and log incoming specimens.
- Ensure proper labeling and identifier compliance.
- Maintain structured tracking from receipt to final disposition.
- Guarantee 100% specimen traceability.
Result Reconciliation (Primary Function)
- Reconcile analyzer output with LIS entries and EHR documentation.
- Identify and resolve discrepancies promptly.
- Monitor aging or unresolved cases and escalate appropriately.
- Maintain reconciliation logs and documentation control sheets.
Downtime Operations Oversight
- Maintain manual accession logs during LIS downtime.
- Reconcile printed analyzer results to tracking sheets daily.
- Prepare structured data for LIS re-entry.
- Ensure downtime documentation is inspection-ready.
Reference Laboratory Coordination
- Track send-out specimens from accession through final result.
- Verify requisitions include required demographic, provider, and billing information.
- Monitor turnaround times and escalate delays.
Quality & Compliance
- Audit documentation daily for completeness and accuracy.
- Ensure critical results are documented and communicated within policy timelines.
- Maintain organized retention of laboratory reports.
- Support regulatory inspections and audit preparation.
Operational Support
- Assist with hematology workflow support when volume requires.
- Maintain supply inventory and specimen storage organization.
- Assist with scanning and indexing laboratory reports.
- Support overall lab workflow efficiency.
Skills & Qualifications
- Data entry, laboratory assistant, or related healthcare experience preferred
- Strong attention to detail; highly thorough and process-oriented
- Ability to manage high-volume, repetitive documentation tasks with precision
- Strong Excel proficiency for reconciliation tracking
- Working knowledge of LIS and EHR systems
- Understanding of laboratory safety, infection control, and chain-of-custody procedures
- Strong communication skills for coordination across teams
- Ability to lift up to 25 pounds and wear appropriate PPE
