About this position
A Construction Billing Coordinator manages the full-cycle billing process for construction projects, including preparing AIA billing, progress billings, and change orders. They verify subcontractor invoices, monitor accounts receivable, and ensure compliance with contract terms. This role requires strong attention to detail and collaboration with project managers.
Key Responsibilities
- Invoicing & Documentation: Prepare and submit accurate monthly progress billings, final invoices, and AIA documents. Being familiar with billing portals is a plus but not required.
- Contract Compliance: Verify accuracy of billing data against contracts, change orders, and subcontractor agreements.
- Accounts Receivable (AR): Monitor AR aging reports, follow up on overdue payments, and resolve billing discrepancies.
- Project Support: Collaborate with project managers to track project costs, budgets, and expenses.
- System Maintenance: Set up new jobs in the accounting system and maintain detailed records.

Requirements
Minimum Requirements:
- Experience: 5 years’ experience in construction accounting or billing is required.
- Software Proficiency: Knowledge of accounting software (e.g., Sage, QuickBooks) and Excel/Google Sheets.
- Knowledge: Understanding of construction contracts, lien waivers, and payment applications.
- Skills: Strong organizational skills, attention to detail, and communication skills.
