RESPONSIBLE TO: Chief Executive Officer
SUPERVISES: Transportation Department
BASIC FUNCTIONS: Under the direct supervision of the Chief Executive Officer responsible for dispatching vehicles, as well as other duties outlined below, to ensure the efficient operation of the SMSC Transportation Department.
DUTIES AND RESPONSIBILITIES:
- Dispatching drivers and vehicles for consumer transportation services at SMSC.
- Support the agency as needed to include the support of audits, CCL inquiries, and all required HR support documentation.
- Assigning vehicle use in coordination with the Program Managers, Operations Manager and CEO.
- Develop routing plans in coordination with Director of Programs, Department Managers and Director of Operations, following the approval of the CEO and Regional Center.
- Oversee ongoing maintenance of the transportation fleet to meet CHP, DOT, Caltrans, SDRC, State, and Federal Regulations for motor carriers.
- Prepare monthly transportation invoices for SDRC billing based on trips.
- Prepare bi-monthly reports of hours worked by transportation drivers and Aids, to be submitted to Payroll.
- Coordination of Caltrans requirements and necessary paperwork.
- Reviewing and processing complaints, incidents, and accidents with the Chief Executive Officer and Director of Programs, Program Managers, Caltrans Grant Writer, and Auto Insurance Broker.
- Ensure all vehicles have proper identification, insurance coverage, and registration.
- Participate in staff meetings, in service training, staff development programs, professional meetings, conferences, and related meetings for transportation.
- Coordinate all transportation staff training, as appropriate.
- Supervising and reviewing all “B” Drivers and Assistant Dispatcher requirements and certifications for Highway Patrol Yearly inspection.
- Other duties may be assigned, as needed, to ensure the safe and effective daily operation of the SMSC transportation program.
- Ensure all program documentation is done within the SMSC Policies & Procedures time limit.
- Assist with the coordination of campus maintenance.
- Responsible for performing other tasks as required and directed by the Director of Programs and/or Chief Executive Officer.
PHYSICAL DEMANDS/REQUIREMENTS:
The employee must regularly lift and/or move up to twenty-five pounds; frequently lift and/or move up to fifty pounds; and occasionally lift and/or move up to seventy-five pounds. Specific vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus are required. Occasionally, there may be situations requiring high stamina and walking distances up to half a mile in length. WORK ENVIRONMENT:
The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. While performing the duties of this job, the employee frequently works near moving mechanical parts and is exposed to fumes or airborne particles. The employee occasionally works in outside weather conditions. The noise level in the work environment is usually loud.
QUALIFICATIONS:
- Minimum of two years’ experience in managing a transportation department.
- Experience working and transporting adults with developmental disabilities and sensitivity to elderly people.
- Must possess good oral communication and listening skills.
- Working knowledge base and efficiency concerning the use of computers and telephones are required (such as Microsoft Office and Excel).
- Able to work on a schedule that includes occasional evenings and weekends; be available for on-call duty after hours, one week per month.
- Demonstrate ability to supervise and train staff in the preparation and procedure of the transportation department.
- Ability to collaborate with management, staff, consumers, care providers, parents, social workers, and other community agencies.
- Excellent written and oral communication skills, planning, and organizational skills.
- Ability to work effectively in a constantly changing environment and maintain a work pace appropriate to the workload.
- Possess excellent multitasking skills to meet deadlines and maintain confidentiality.
- Must be able to pass a pre-employment drug test.
- Must be able to obtain and require criminal records clearance.
- First Aid and CPR are required for the position.
- Valid California Class B Driver’s License with Passenger Endorsement is required.
