Role Overview
We are looking for a highly organized, proactive Executive Assistant to support the Founder of Moon. This role is much more than traditional administrative support. The Executive Assistant will act as a key operational partner to the Founder, helping manage communication, organize priorities, coordinate initiatives across teams, and remove blockers so projects move forward efficiently.


This role requires someone who can manage details, anticipate needs, and help ensure the Founder’s time is spent on the highest impact work. The Executive Assistant will handle executive communication, organize workflows, coordinate cross functional initiatives, and help build systems for documentation and productivity across the organization.

The ideal candidate is highly resourceful, extremely organized, comfortable working with new technologies and AI tools, and thrives in a fast paced startup environment.


What you'll do

  • Review and manage incoming emails, organizing and prioritizing communication and resolving certain messages when appropriate.
  • Filter, categorize, and properly organize email communications to ensure important information is surfaced quickly.
  • Take detailed meeting notes during leadership and project meetings, distribute summaries, and follow up on action items across the organization.
  • Track priorities and ensure teams are following through on tasks, deliverables, and deadlines.
  • Facilitate communication and coordination across cross functional initiatives and projects.
  • Help remove blockers for the Founder’s direct reports by coordinating communication between teams and ensuring work moves forward smoothly.
  • Manage scheduling, calendars, and appointments including both professional and occasional personal scheduling needs.
  • Assist with personal logistics when necessary, including coordinating vehicle service, scheduling appointments, and handling personal administrative tasks.
  • Handle miscellaneous administrative responsibilities that support the Founder’s productivity and organization.
  • Create documentation and standards for managing files, documentation, and workspace organization so information is structured and easy to access.
  • Maintain and organize internal documentation, notes, and important materials.
  • Identify opportunities to improve workflows and automate repetitive tasks.
  • Build and maintain simple workflow automations using tools such as Zapier or other workflow platforms.
  • Act as a central point of coordination between the Founder and internal teams.
  • Help prepare materials, presentations, and briefing documents for meetings.
  • Manage travel logistics when needed.


Qualifications

  • 5+ years of experience supporting founders, executives, or senior leadership.
  • Strong organizational and time management skills with the ability to manage multiple priorities simultaneously.
  • Excellent written and verbal communication skills.
  • Ability to handle confidential information with discretion and professionalism.
  • Highly proactive with the ability to anticipate needs and solve problems independently.
  • Ability to manage a wide diversity of tasks and remain effective in ambiguous environments, helping define priorities and goals as initiatives evolve.
  • Comfortable coordinating across technical, operational, and leadership teams.
  • Deep experience with productivity and collaboration tools such as Notion, Slack, ChatGPT, Claude, and similar platforms.
  • Experience with workflow automation tools such as Zapier, Claude CoWork, or similar automation platforms.
  • Strong understanding of how to automate tasks and improve operational efficiency through tools and systems.
  • Comfortable working with AI tools and emerging productivity technologies.
  • Previous experience working in a high growth startup environment is strongly preferred.

The pay range for this role is:
80,000 - 100,000 USD per year(Glendale, CA)
