Position Description: Executive Assistant to Partner
Location: Onsite Monday-Friday (No remote/hybrid)
Department: Executive Leadership
The Executive Assistant serves as the Partners right arm, enabling focus, clarity, and scale. This role goes far beyond administrative support; it requires strong judgment, emotional intelligence, and the ability to anticipate needs, filter distractions and protect the Partners time. All Greenleaf team members are expected to complete individually set professional/personal goals on an ongoing quarterly basis as part of their basic job requirements.
Communication Management -Manage the Partners inbox with discretion, accuracy, and sound judgment -Identify correspondence that can be fully handled independently versus items requiring Partner review -Draft, respond to, and resolve communications on the Partners behalf when appropriate -Proactively filter noise (low-value requests) and distractions to protect Executive focus -Ensure critical items are surfaced promptly with clear context and recommended action(s)
Calendar, Priorities & Time Optimization -Manage and optimize the Partners calendar to maximize effectiveness and strategic focus -Prioritize meetings and commitments based on business impact and urgency -Prepare the Partner with agendas, background context, and materials as needed -Anticipate scheduling conflicts and resolve them proactively
Travel & Logistics -Coordinate all travel arrangements including flights, lodging, ground transportation, and itineraries -Ensure travel plans align with business priorities and the Partners personal preferences -Manage changes efficiently and calmly in dynamic situations
Strategic Support & Business Enablement -Act as a trusted partner and extension of the Executive, exercising discretion and independent judgment -Maintain awareness of the broader business context in anticipation of needs and priorities -Support initiatives that allow the Partner to expand the business and maintain focus on high-impact work -Track follow-ups, commitments, and deadlines
Technology/AI Process Improvement -Leverage technology and AI tools to streamline workflows, communications, and scheduling -Continuously identify opportunities to improve efficiency and reduce friction -Maintain organized digital systems and documentation
