About this position
About The Lisinski Law Firm
Since 2020, Lisinski Law Firm has served as a dedicated humanitarian immigration practice committed to providing meaningful support to individuals and families seeking safety, stability, and a path forward. We frequently stand with clients who have been turned away elsewhere, offering both advocacy and care. Joining our Firm means becoming part of a team devoted to keeping families together and “Changing as Many Lives as Possible.”
About the Role
This is the "Red Carpet" of the Lisinski Law Firm.
You aren’t just a coordinator; you are the first face and voice a family interacts with when they are fighting for their future. We don't do "basic" customer service here—we provide a high-stakes, high-empathy experience.
As the Intake Office Coordinator in Naperville, you are the engine of the intake process. You’ll be managing the chaos of a busy office—handling everything from FBI fingerprint submissions to ensuring our welcoming area is pristine—all while maintaining a bilingual flow between departments. If you're someone who gets a thrill from "ruthless attention to detail" and can pivot from a complex client inquiry to an inventory check without breaking a sweat, you belong here. If you’re just looking for a desk job to hide behind, keep scrolling.
Your Key Contributions
- Client Welcome & Experience: Greet and assist clients upon arrival, providing a "red-carpet" experience and ensuring the welcoming area is clean and organized.
- Intake Support: Conduct initial assessments, gather necessary information, and verify client documentation.
- Technical Processing: Take client fingerprints, submit them to the FBI, and scan/upload all authorization forms and contracts into the case management system.
- Logistics & Admin: Prepare intake folders and mail Welcome Kits; manage office supply inventory and collect client payments following safety procedures.
- Communication: Answer and direct incoming calls, confirm or reschedule client appointments, and coordinate communication between multiple departments.
What Makes You a Great Fit
- Bilingual Proficiency: You must be fluent in both Spanish and English (verbal and written).
- Experience: 1–3 years of experience in customer service is preferred.
- Education: High school diploma or equivalent experience.
- Technical Skills: Proficient in Microsoft Office Suite and comfortable learning case management systems.
- Soft Skills: You possess "ruthless attention to detail," excellent organizational skills, and the ability to multitask and prioritize work independently.
