Position Summary
The Shipping & Logistics Coordinator is responsible for managing daily shipping and logistics operations from the front office while also serving as a point of contact for customer order support. This position plays a key role in coordinating outbound and inbound freight, preparing and reviewing shipping documentation, and ensuring timely and accurate communication with carriers, internal teams, and customers. The coordinator will utilize multiple systems, including Excel, SharePoint, Google Sheets, Epicor, and My Carrier, to support shipping activities, reporting, and order management.
Essential Duties and Responsibilities
Shipping & Logistics
- Coordinate and schedule outbound shipments including parcel, LTL, and full truckloads.
- Obtain freight quotes and arrange shipments using MyCarrier and other carrier platforms.
- Manage limited inbound and drop-ship routing and coordinate delivery schedules with production teams.
- Prepare and process packing slips, invoices, and shipping documentation.
- Review accounts, submit invoices, and ensure billing accuracy.
- Generate and distribute daily shipping and logistics reports.
- Support order entry and maintain accuracy within the ERP system.
- Participate in monthly production coordination meetings to review performance, resolve issues, and share team achievements.
- Collaborate with cell managers and internal departments to ensure shipping activities align with production needs.
Customer Service & Order Support
- Receive incoming calls and emails from customers regarding orders, shipments, and products.
- Answer customer inquiries and provide information related to product availability, shipping timelines, and order status.
- Investigate and resolve customer shipment issues, escalating as needed to ensure customer satisfaction.
- Maintain professional communication with customers to build trust and long-term relationships.
Qualifications
- High school diploma or equivalent required; associate’s degree in business, Supply Chain, or related field preferred.
- Minimum of 2 years’ experience in shipping, logistics, or office coordination (manufacturing or distribution environment preferred).
- Experience in customer service or order entry is strongly preferred.
- Proficiency with Microsoft Excel, Google Sheets, SharePoint, and ERP systems; Epicor experience is highly desirable.
- Strong organizational skills with the ability to manage multiple priorities.
- Excellent written and verbal communication skills, including professional phone and email etiquette.
- Strong attention to detail and accuracy.
- Ability to work independently and collaboratively in a team environment.
Work Environment
- Office-based role, Monday through Friday, 8:00 AM – 4:30 PM.
- Frequent communication with carriers, vendors, customers, and internal production staff is required.
- Fast-paced environment with deadlines and shifting priorities.
