Position Summary

The Human Resources Administrator manages the day-to-day administration of Human Resources at EcoExploratorio, overseeing the full employee lifecycle, regulatory compliance, and personnel documentation. This role ensures accurate, audit-ready records and consistent HR processes that support staff performance, retention, and organizational stability. The position is primarily operational, requiring sound judgment, confidentiality, and effective coordination with leadership, Finance, Compliance, and external advisors.

 

Core Responsibilities

1. Employee Lifecycle Management

Manage recruitment, hiring, onboarding, personnel records, job offers, and employment documentation for staff and contractors, ensuring accurate, complete, and up-to-date files (physical and electronic).

2. HR Policy Development and Governance

Develop, review, update, and implement Human Resources policies and procedures in alignment with Puerto Rico labor laws, federal funding requirements, and organizational best practices.Maintain and update the Employee Handbook, ensuring clarity, consistency, and legal compliance.Ensure all HR policies are properly communicated, acknowledged, and documented by staff.Monitor regulatory changes and proactively recommend policy updates to maintain compliance and operational integrity.

3. Compliance and Documentation

Ensure compliance with Puerto Rico labor laws and federal funding requirements; maintain complete, accurate, and audit-ready HR documentation and approvals, including all required signatures prior to execution.

 

3. Payroll and Benefits Administration

Process and validate payroll with Finance; administer benefits, time and effort reporting, leave tracking, and required employer insurance programs.

4. Performance Management and Employee Relations

Coordinate performance evaluations, disciplinary processes, corrective actions, and employee relations matters in collaboration with leadership and legal counsel.Conduct individual employee check-ins and support workplace conflict resolution when appropriate.

5. Training, Communication, and Organizational Support

Coordinate trainings, onboarding materials, internal communications, certifications, and staff engagement initiatives that support a healthy work environment. 

6. HR Policies, Systems and Process Improvement

Maintain HR policies, manuals, systems and digital records, improve internal HR processes, and serve as the primary internal point of contact for day-to-day HR operations.

Qualifications

Education and Experience

Bachelor’s degree in Management, Human Resources, Labor Relations, or a related field preferred.Minimum of five (5) years of progressive experience in Human Resources or administrative HR functions or a Master's degree in Human Resources and at least 3 years of experience in field. Experience in nonprofit organizations and/or organizations managing public or federal funds is highly desirable.

Skills and Competencies

Strong working knowledge of Puerto Rico labor laws and employment practices.Experience with payroll systems (ADP preferred).Excellent written and verbal communication skills in Spanish; English proficiency required.Strong organizational skills with close attention to detail.Ability to manage confidential information with discretion and integrity.Proficiency in Microsoft Office; intermediate Excel skills preferred.

Preferred Qualifications

Professional HR certification (PHR, SPHR, SHRM-CP or equivalent) or at least  SHRM member.Prior experience supporting audits, compliance reviews, or federal grant-funded projects.

Work Environment and Schedule

Hybrid or in-person, based at administrative offices.Standard schedule: Monday–Friday, 8:00 a.m. – 5:00 p.m.Flexibility required for organizational events or operational needs.
