Location: Berean Baptist Church – Burnsville
Schedule: 28 - 32 hours per week (Part-Time)
Reports to: Facilities Manager
Job Summary
The Administrative Assistant provides comprehensive administrative and operational support to ministry leaders and staff by managing correspondence, preparing documents and communications, organizing information and records, assisting with office workflows and ensuring smooth day-to-day functioning of the ministry through responsive, accurate, and service-oriented administrative car
Roles and Responsibilities
Front Desk & Communication Support
- Answer, screen, and transfer incoming phone calls to the appropriate staff or ministry leaders.
- Greet, direct, and assist visitors, ministry guests, and vendors, ensuring a warm and professional first impression.
- Respond promptly to general inquiries via phone, email, or in person, providing accurate information or directing questions to the correct department.
Administrative & Clerical Management
- Maintain filing systems, ensuring documents are organized and accessible
- Retrieve information from records, email archives, meeting minutes, and databases; prepare summaries or reports as needed.
- Draft, proofread, and prepare communications including emails, letters, memos, invoices, meeting notes, and reports.
- Process and distribute incoming mail and packages
Office Operations & Supply Coordination
- Monitor and maintain inventory of office supplies; place orders and manage vendor relationships to ensure adequate stock.
- Coordinate maintenance, repair, and service needs for office equipment (printers, copiers, phone systems, etc.).
- Ensure common office areas remain tidy, organized, and functional for staff and guests.
- Support organization of workrooms, supply closets, and administrative spaces
General Operational Support
- Provide administrative support to the Facilities Manager, Operations Director, and HR department as needed.
- Assist with onboarding-related tasks such as assembling new hire packets and printing staff badge photos (when supporting HR).
- Perform additional duties as assigned to support church operations and ministry functions
Education Requirements
High school diploma
Knowledge Requirements
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- Proficient in Microsoft Office Suite or related software.
- Excellent organizational skills and attention to detail.
- Basic understanding of clerical procedures and systems such as recordkeeping and filing.
- Ability to work independently.

Other Qualifications
- Must be able to work prolonged periods sitting at a desk and working on a computer
- Must be able to lift up to 30 pounds at times
