About this position
Job Summary
We are seeking a detail-oriented and dependable individual to join our growing organization. This position is responsible for overseeing the administrative functions related to processing high-volume customer orders, invoicing, pricing, and product information integrity. In addition, this person will provide cross-functional support to the administration, operations, logistics, and accounting departments.
This role plays a critical support function in ensuring accuracy in order entry, effective communication across teams, and the timely resolution of issues throughout the order fulfillment lifecycle. The ideal candidate demonstrates strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment
Duties/Responsibilities
- Oversee the full order lifecycle, including entry, tracking, and delivery coordination.
- Process and review customer orders, accurately entering them into NetSuite.
- Verify order details including pricing, vintage, quantity, size, and other product specifications to ensure accuracy.
- Maintain updated order reports and provide visibility across departments.
- Prepare and distribute order documentation for warehouse staff to pick, pack, and ship customer orders.
- Schedule delivery appointments with customers, warehouse personnel, and drivers.
- Coordinate and secure transportation through third-party logistics providers (3PLs).
- Troubleshoot and resolve order-related issues to ensure timely and accurate delivery.
- File and manage claims for damaged, missing, or incorrect items as needed.
- Review Proof of Delivery (POD) documentation to confirm fulfillment accuracy and initiate invoicing based on product received.
- Provide regular status updates on pending, incomplete, or claim-related orders.
- Collaborate cross-functionally with Administration, Operations, Logistics, Accounting, and Warehouse teams to support operational efficiency and customer satisfaction.
- Provide administrative support to the warehouse team as needed.
- Perform additional duties as assigned by management.
Requirements / Qualifications
- Bachelor’s degree preferred; High School diploma required with a minimum of 2+ years of relevant office or administrative experience.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint, etc.).
- Strong attention to detail and exceptional organizational skills.
- Excellent written and verbal communication abilities.
- Ability to manage multiple priorities and thrive in a fast-paced, deadline-driven environment.
- Demonstrated commitment to accuracy, quality, and high standards of performance.
- Experience with NetSuite or similar ERP systems preferred.
