Under the general direction of the Property Director Tashua Knolls, has responsibility for the day-to-day administrative functions at the Golf Course. Provides administrative support to the Golf Commission including serving as the Commission Clerk, attending meeting and preparing minutes as required. Work closely with the Pro Shop staff to ensure good customer relations and proper financial reporting.

Examples of Duties

  • Maintain Requisition and Purchase Order system, entering required information into Munis System, matching requisition # with the assigned P.O. # and reviewing open requisitions with the Golf Course Director.
  • Responsible for the maintenance of the Golf ID and Point of Sales (POS) System including the mailing of ID applications, preparing and updating forms and procedures for new ID applications. Updating information on POS database and publicizing Photo Golf ID Card sessions.
  • Maintain financial information to ensure compliance with published Financial Procedures which includes the balancing daily and monthly records, balancing monthly bank statements and the preparation of monthly reports for Commissioners and Town Finance Dept.
  • Prepare weekly payroll for all golf course personnel. Making any required adjustments and reviewing data for accuracy in preparation for approval by Property Director.
  • Prepare correspondence as required by the Property Director and maintain required files and records.
  • Provide support to the Golf Course Director and the Golf Commission in the preparation of the annual budget including entering budget information into Munis System and providing budget information to Golf Commission for their submission to the Finance Commission.
  • Acts in the role of Clerk to the Golf Commission and its subcommittees which requires attending meetings, taking and publishing meeting minutes, preparing agendas and preparing other requested commission correspondence.
  • Additional duties as requested by the Property Director.

Qualifications

Required Skills and Abilities:

  • Thorough knowledge of office terminology, procedures, and equipment; thorough knowledge of business arithmetic and English.
  • Good knowledge of modern clerical accounting practices. Some knowledge of professional accounting practices.
  • Ability to follow complex oral and written directions and to prepare complex fiscal and other reports.
  • Ability to make minor decisions in accordance with laws, ordinances, regulations, and established policies.
  • Ability to effectively communicate orally and in writing.
  • Ability to deal effectively with others, including the public and co-workers.

Minimum Qualifications:
  • High School Diploma or GED.
  • Four years of administrative/clerical experience in a business environment including a significant public facing role.
  • Proficient in Microsoft Office applications, specifically email, word processing, and spreadsheets and other general computer applications.

Each candidate must have had the minimum required experience and training to be eligible to participate in the exam for this position.

The weight of the examination will be 80% experience and training and 20% computer skills. The candidates will be ranked based on their experience and training, which is based on the information contained in their employment application and their responses to a supplemental questionnaire, and the results of a computer skills test.

This examination will be conducted for the Town of Trumbull by the Trumbull Civil Service Board within the authority of Section 7-413 of the 1959 revision of the State of CT General Statutes.
