It is a non-profit trade organization that represents, protects and promotes the interests of all members of the full producing team in film, television and emerging media. About the Role 

The Executive Assistant to the CEO is a fast-paced job suited for someone meticulous, proactive, and highly organized.  Reporting directly to the CEO, this position serves as a central point of coordination for PGA members, board member leadership, PGA staff, other guilds, sponsors, and industry partners while managing a high volume of communication and scheduling needs. This includes coordinating complex meetings, supporting PGA Awards and Produced By Conference logistics, maintaining active to-do lists and follow-ups, and assisting staff as needs arise to keep daily operations running smoothly.  The EA oversees the CEO’s workflow with professionalism and discretion, supports production meetings and event preparation, and helps maintain strong relationships across the Guild. This role requires exceptional communication skills, a “no job too big or too small” mentality, and the ability to anticipate needs in a dynamic, fast-moving environment. 


 

Key Responsibilities 

Responsibilities for the EA position break down as follows (Note: The Chief Executive Officer and/or other Guild leadership may modify the following responsibilities and percentages, as appropriate, to meet Guild priorities): 

Administrative Support to the CEO (60%) 

●  Provide high-level administrative support to the CEO by overseeing calendars, phones, inboxes, expenses and daily scheduling, and by keeping organized task lists and call sheets to ensure priorities stay on track. Coordinate meetings and communication with Board members, staff, sponsors, and industry partners, preparing materials, taking clear and discreet notes, and managing follow-up across all parties. Use tools such as FirefliesAI, Doodle, Zoom, and Google Drive to maintain accurate records and keep information flowing smoothly. Support Awards and Produced By by attending production meetings, managing transcripts and materials, and tracking action items. Maintain updated contacts and internal records, assist staff as needed, and ensure the CEO’s workflow runs efficiently day to day. 

Manage Internal and External Meetings (20%) 

●  Manage a wide range of internal and external meetings by coordinating schedules, preparing materials, creating links, and ensuring all participants have the necessary information. This includes production meetings for the PGA Awards and Produced By Conference, Board and Executive Committee meetings, task force and working group sessions, and situational meetings with members, sponsors, and industry partners. Attend key meetings to track action items, organize transcripts and summaries, maintain updated lists such as in-memoriam, and support follow-up across departments to keep communication and workflows running smoothly. 

Board Relations (10%) 

●  Build strong, easy working relationships with Board members and their assistants to keep communication smooth and information moving quickly. Be a reliable point of contact who understands their needs and helps keep everyone connected and aligned. 

Assist with Sponsorship Events (5%) 

●  Assist with sponsorships by tracking contract deliverables, keeping grids and records up to date, gathering assets and approvals, and making sure deadlines and follow-ups stay on track. Support sponsor needs throughout the season—including collecting materials, coordinating communication, and helping with sponsor dinners or event details—to ensure every commitment is fulfilled smoothly and accurately. 

Maintain Internal Records/Information (5%) 

●  Maintain up-to-date internal records by keeping contact lists, grids, and shared documents organized and accurate, updating information as people, projects, and events evolve. Ensure key details—like Board contacts, member information, meeting materials, and internal notes—are easy to find and current so the CEO and staff can access what they need quickly.

Knowledge, Skills and Experience 

  • 5+ years of experience supporting a senior executive, preferably at the CEO or C-suite level 

  • Experience working with Boards of Directors or Executive Committees 

  • Exceptional organizational skills and attention to detail 

  • Strong written and verbal communication skills 

  • Demonstrated discretion in handling confidential information 

  • Proficiency with Google Workspace or Microsoft Office, Zoom, scheduling platforms, and note-taking tools 

  • Experience in a nonprofit, membership organization, or mission-driven environment preferred

Compensation Range, Reporting Structure and Work Schedule 

  • Compensation Range: $24.04 - $28.85 per hour (equivalent to $50,000 - $60,000 per year), commensurate with skills and experience. 

  • This is a full-time, non-exempt position reports to the Chief Executive Officer. 

  • Location: Los Angeles. The Guild works on a hybrid schedule of in-office on Tues, Wed, and Thurs, and remote on Mon and Fri.
