Job Summary:

The Human Resources Administrative Assistant provides administrative and operational support across Human Resources, office management, and employee services. This role is responsible for facilitating HR processes, managing invoices and office operations, assisting with employee travel and expenses, coordinating vendor and facilities activities, handling front desk and reception duties, and supporting company events and employee engagement initiatives to ensure smooth day-to-day operations in a fast-paced environment.

Duties and Responsibilities:

  • Provide administrative support to the HR team, including document preparation, data entry, filing, and maintenance of confidential employee records.
  • Coordinate employee onboarding and offboarding processes, ensuring timely completion of paperwork and effective internal communications.
  • Prepared, edited, and organized documents, reports, and presentations with a high level of accuracy and confidentiality.
  • Process and track invoices for office operations and vendor services, maintaining accurate records and collaborating with Finance to resolve discrepancies.
  • Provide comprehensive administrative support to management and team members, including the travel system application, travel arrangements, and policy-related questions, and supported travel expense tracking and reconciliation.
  • Oversee office management, including inventory and ordering of supplies, maintenance of office equipment, and coordination with vendors for timely service delivery.
  • Serve as the primary liaison for office vendors, building management, and facilities-related matters, including access, security, and maintenance requests.
  • Manage front desk and reception duties, including greeting visitors, handling inquiries, coordinating meeting room scheduling, and managing incoming/outgoing mail and packages.
  • Assist in planning and executing company events, meetings, and employee engagement activities, ensuring seamless logistics and a positive office environment.
  • Perform other duties as requested or assigned.

Education:

  • Associate degree required; bachelor’s degree, or relevant certification preferred.

Experience:

  • 1–3 years of experience in HR or office administration (or equivalent experience), with prior exposure to office supplies, facilities management, or related tasks preferred.
  • Bilingual language skills in Chinese and English is a plus but not required.
  • Strong organizational and time-management skills, with the ability to handle multiple priorities.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and basic office systems.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and ability to maintain confidentiality.
  • Customer-service oriented with a professional demeanor.
  • Ability to work independently as well as collaboratively in a team environment.

Physical Demands & Working Conditions:

  • Ability to sit or stand for extended periods during scheduled shifts.
  • Ability to occasionally walk, bend, or reach while supporting office and facility operations.
  • Ability to perform repetitive hand movements when handling office supplies, documents, or computer equipment.
  • Work performed primarily in an office or facility environment with regular interaction with employees and visitors.
